Arnot Health Business Coordinator - Occupational Medicine in Elmira, New York

Job Description

MAIN FUNCTION:

Coordinates practice wide services including inter-office and inter-departmental communication. Assists with policy and procedure development, implementation, and review. Assists with problem and conflict resolution with companies, patients, physicians and staff. Reports to the Practice Manager (PM) and Director of Operations (DOO).

DUTIES AND RESPONSIBILITIES:

Supervisory:

** 1. Coordinates and assigns duties to staff and prepares work schedules.

** 2. Assists PM and DOO with supervision including preparation of performance evaluations, disciplinary documentation, etc. for office staff.

3. Participates in interview process of prospective new staff and provides recommendations to the PM and DOO. 4. Assists with coordination of training for new staff. 5. Identifies and sometimes mediates and resolves problems for physicians, patients, and staff with assistance from the PM and DOO. 6. Participates in office staff meetings as needed.

** 7. Assigns duties and makes staffing adjustments to insure efficient office operation.

8. Performs other tasks and assumes other responsibilities as required for the efficient office operation.

Operations Management:

** 9. Works with the Occupational Medicine Clinical Office Coordinator to assure preparation and coordination of daily schedules for providers including scheduling patient appointments (in accordance with established protocols), meetings, onsite/educational programs for client companies, pharmaceutical company representatives, etc. Works with Administrator to coordinate staff schedules, vacations and coverage issues. Distributes scheduled information to physician, staff, and outside agencies requiring that information (e.g. hospitals, answer service).

** 10. Responds to all incoming telephone calls courteously and efficiently. Routes all medically-related calls to a nurse or doctor for appropriate action.

** 11. Serves as the primary company contact for all questions and service issues. Directs calls for clinical interactions to the physicians/providers and/or the Clinical Coordinator as appropriate.

12. Obtains all information necessary from companies in order to set up new accounts. 13. Sets up new company accounts and sends, collects once signed, organizes and maintains all contracts with companies for services.

Patient Support:

** 14. At the request of office provider(s) and in consultation with the companies or patients, may assist others to assure schedules, follow-up visits, consultation, referred testing, in-patient admissions and so forth are accomplished timely. Forwards any appropriate materials required by the consultant.

** 15. Assists Clinical Coordinator to maintain system to ensure timely receipt of all consultation reports and referred testing results. Follows-up associated problems, missing information, etc.

** 16. Assists Clinical Coordinator to assure that assigned staff obtains pre-certification clearances required for medical testing. Follows-up on requests when pre-certification is not received in a timely manner.

Patient Accounts:

** 17. Interfaces with companies, referring provider offices, and in some cases AMS and Hospital billing departments to obtain current demographic and insurance information necessary to facilitate direct billing to companies per Occupational Medicine protocols and agreements with companies. Obtains appropriate procedural (CPT) and diagnostic information from providers.

18. Double checks all workers comp and human motion institute office visits to ensure billing information is accurate when and all charges entered related to those visits. Enters all charges in billing system for Occupational Medicine visits (i.e. physicals, immunizations, drug screens, etc.).

** 19. Insures proper controls for cash accounting, preparation of daily deposits, and transfers.

20. Follows up with employers and as needed to obtain corrected billing information. 21. Works with Community Health Office, Employee Health Office and others to organize wellness and health fairs at company sites or other public venues.

** 22. Updates company records in preparation for office visits by their employees.

23. Processes company and patient requests for information, copies office medical records and distributes as necessary, in accordance with established protocols.

Secretarial:

** 24. Maintains filing system for all practice management documents, personnel documents and other sensitive documents as required.

25. Processes and distributes mail on a daily basis or assures those assigned accomplish said duties. 26. Monitors business office and secretarial supplies and submits purchase requests to administrator as needed (assures those assigned these duties accomplish them). 27. Processes expense reimbursement requests for departmental staff. 28. Prepares invoices for payment and forwards them to Accounts Payable Department.

Other:

29. Acts as MRO Assistant (Medical Review Officer) receiving drug screen results, reviewing all paperwork to assure accuracy and getting any corrections in place as necessary and before handing off to the MRO. Also reports out results of drug screens to companies once completed by MRO. 30. Acts as FAA (Fed Aviation Admin) and DOT (Dept of Transportation) Administrative Assistant. Enters all FAA and DOT physicals in the Federal websites. 31. Manages multiple consortiums (random drug screening programs) for multiple of AMS’ contracted companies. 32. Assists Administrator, physician(s), nurse(s) and other staff with other practice related functions as required. 33. Functions with awareness for safety of patients, co-workers and self (e.g. OSHA compliance). 34. Is responsible for attending mandatory annual educational programs and participates in the process as appropriate.

** 35. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer’s needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Arnot Health.

EDUCATION:

High school graduate or equivalent with additional course work and/or experience in accounting or bookkeeping required.

EXPERIENCE:

Three years office experience or equivalent and comparable hospital or other medical institutional experience. Demonstrated managerial skills including personnel administration and supervision, training, and other medical related skills is desirable.

CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:

No CPR required.

PHYSICAL DEMANDS:

Light physical effort. Typical office job.

EXPOSURE CATEGORY:

Category III. Tasks that involve no exposure to blood, body fluids or tissues. And Category I tasks are not a condition of employment.
