Pacific Air Forces Operations Assistant in Elmendorf AFB, Alaska

Summary About the position: This position will be assigned to the Arctic Warrior Events Center on Joint Base Elmendorf-Richardson. Regular Part-Time employees have a regular and continuous work schedule of at least 20 hours to a maximum of 40 hours per week. Responsibilities This position works for the Community Services Flight Chief who is available to deal with unusual situations which may occur and to provide guidance and instruction when performing new or procedurally complex duties. The primary purpose of the position is to plan, schedule and coordinate customer service requests for Arctic Warrior Event Center (AWEC), Permafrost and base theaters. Assists in developing plans for the use of the event center, Permafrost, and base theaters, including budget, scheduling, coordinating staffing with other sections. Responsible for meeting suspense deadlines. Composes, updates, and types a wide variety of correspondence from brief verbal or written instructions from the supervisor. Maintains club member records, accounts, and other personal data; daily and as needed, pulls membership listings for the membership drawings and for Leadership. Completes or arranges for facility maintenance and cleaning as necessary. Opens/closes facilities daily. Responsible for building security, cash handling, safety/hazmat, Information Security management, CE work order submissions & tracking and internal controls. Prepares and consolidates cashier report, notifying supervisor of any suspected irregularities. Research income/usage reports and performs courier duties to the NAF Resource Management section or other sections of Force Support offices. Plans, conducts, and arranges support for special events, social activities, official and nonofficial events or related functions held in the AWEC, Permafrost or base theaters. Prepares food and beverage menus for events, purchases inventory for food and beverage programs (such as but not limited to: Thirsty Thursday's, official and nonofficial events, squadron holiday parties). Reviews customer service requests and keeps abreast of overall requirements and timelines as they relate to the ongoing initiative to ensure the event is executed in accordance with established plans and meets the customer's request. Coordinates audio visual (AV) equipment requirements for all programs, oversees contractor performance of equipment and maintenance when necessary. Coordinates marketing requests, arranges catering/self-serve stations, and recommends and plans for mementos/gift selections for all distinguished visitor events and visits. Oversees the JBER Life membership program to include but not limited to: membership drives and sign ups. Prepares after action reports and critiques and evaluates results to identify potential areas of improvement. Provides visitor typographical data and obtains personnel information such as food and beverage restrictions, interests, correct name and pronunciation, proper salutations and forms of address. Briefs escorts, project officers, drivers as well as other support staff members and oversees the discharge of their duties. Other related duties as assigned. Qualifying Experience: Experience in organizing events. Exceptional interpersonal skills, a friendly demeanor, diligence and attention to detail, and have outstanding organizational skills. Experience managing event timelines and marketing processes. Ability to relate well and work effectively with multiple constituencies and audiences. Must be able to make administrative/procedural decisions and judgments. Ability to secure and handle monetary transactions. Work experience which involved dealing with general public, military or similar leadership. This is a drug testing designated position. Must be physically be able to frequently lift, handle, and carry objects weighing up to 40 pounds, and with assistance, objects up to and over 50 pounds. Must satisfactorily complete a pre-employment physical and drug test. Must be able to complete and maintain a satisfactory Tier 1 Investigation. Must have a valid driver's license and provide a current driving record. Must be willing to work evenings, weekends, and holidays. Education Some federal jobs allow you to substitute your education for the required experience in order to qualify. This position does not allow for education substitution. Additional Information Individual must fully meet qualification/eligibility/background requirements for this position.
