Description We are offering a permanent employment opportunity for an Administrative Assistant in the property management industry, located in El Segundo, California, 90245, United States. As an Administrative Assistant, your focus will be to provide comprehensive administrative support, ensuring efficient property management operations and high levels of tenant satisfaction.
Responsibilities:
• Efficiently handle tenant communication, addressing their inquiries and concerns, and providing them with relevant information about property rules and policies.
• Coordinate with vendors for repair and maintenance activities by creating and managing work orders, and ensure completion of tasks.
• Assist in the process of rent collection by tracking payments and following up on outstanding balances.
• Maintain property key boxes and manage the distribution of keys for vendor walks.
• Undertake administrative tasks such as updating tenant contact sheets, entering certificates of insurance data in excel, and managing property calendars.
• Assist in report preparation for the property manager and ensure the upkeep of electronic tenant files.
• Provide excellent customer service, addressing tenant needs and ensuring their satisfaction.
• Utilize Microsoft Office tools for various tasks and correspondence.
• Be the primary point of contact for tenants regarding service-related issues.
• Handle inbound and outbound calls, schedule appointments, and manage email correspondence. Requirements • Proficiency in answering inbound calls, demonstrating excellent communication skills and customer service
• Ability to perform data entry tasks with high accuracy and speed
• Proficiency in handling email correspondence, ensuring timely and appropriate responses
• Experience in managing both inbound and outbound calls, demonstrating strong multitasking skills
• Strong skills in Microsoft Excel, able to create and manage complex spreadsheets
• Proficiency in Microsoft Outlook, handling email, calendar, contacts, and task management
• Skilled in using Microsoft PowerPoint to create compelling presentations
• Proficiency in Microsoft Word for creating, editing, and formatting documents
