Position Description:
To perform specialized clerical and secretarial duties in support of the medical staff/faculty of the TTUHSC. Employees in this position are responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals. Work is also performed under pressure of deadlines, which may include frequent requests for urgent reports.

Major/Essential Functions:
Responsible for setting up a system to ensure faculty credentials are renewed and kept current to ensure compliance and proper distribution (i.e., Texas Medical License, DEA License, Board Certification Certificate, ACLS, PALS, NRP, BLS, etc.)
Responsible for assisting with new faculty onboarding to include but not limited to assist with gathering credentialing documentation.
Assisted with faculty purchasing needs.
Responsible for maintaining faculty departmental files to ensure compliance.
Accountable for ensuring CME is appropriately allocated according to faculty legal documentation.
Responsible for working with hospital medical staff on a "Call" schedule to ensure conflicts are avoided.
Accountable for maintaining the faculty outlook calendar and ensuring conflicts with clinical and administrative functions are avoided. Responsible for composing, typing, and dissemination of letters, PowerPoint presentations, meeting minutes, dictation, or other documents as requested by faculty.
Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
Personally demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's ambassador while actively promoting and encouraging staff across the institution.

Preferred Qualifications:
Position Specific Qualifications Three years of experience in clerical/office work.
Working knowledge of medical and scientific terminology and office practice and procedures.
Performs satisfactorily under pressure of deadlines.
Displays accuracy and skillful use of a personal computer and assigned software.
Demonstrates proficiency in various software programs: Word (required) and Excel (preferred). Detail-oriented with superb organizational skills.
Independent worker. Types accurately at the rate of 50 wpm. Preferred Knowledge, Skills and Abilities List what you consider to be the qualifications for entry into this position: Demonstrate proficiency in grammatical skills and spelling.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organizations.
Ability to coordinate, plan and organize work assigned.
Able to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
Ability to work effectively under stressful situations.

Required Qualifications:
A minimum of a High school diploma or GED.
At least 90 days experience as a Medical Secretary Trainee. OR Three years of secretarial experience with 1 year in a medical or educational setting.
