Job Summary and Qualifications

POSITION SUMMARY: The Equipment, Materials, and Instrument (EMI) Coordinator works under the direct supervision of the circulator nurse assigned to a case. The EMI Coordinator under the direction of the Control Desk Manager/OR Director assists with the orientation and education of Surgical techs I, II, and III he/she also assist with the maintenance of proper inventory of supplies needed for their specialty. Responsibilities also include timely reporting, to the Control Desk Manager/OR Director, any equipment issues, supplies and instrumentation concerns as expressed to them by the physician. His/her duties include preparing for the surgical procedures by collecting needed supplies, instrumentation and equipment to perform surgery. He/she prepares for the surgical procedure by setting up the room and opening the cases, and disposing of used instruments and supplies after the procedure is completed. The EMI Coordinator assists the physicians during surgery by setting up the surgical procedure with all needed supplies, instrumentation and equipment. Responsibilities include handling the sterile instruments and equipment needed to facilitate the surgery. The EMI Coordinator responsibilities also include proper care of handling of instruments postoperatively for transport to Sterile Processing and replacing of supplies to proper storage.

POPULATION SERVED:

Core competencies will be assessed primarily on the following patient population(s) served: Pre and intraoperative interventions, including but not limited to Cardiovascular/Thoracic, Neuro, GI, GU, GYN, Orthopedics, Skeletal/muscular conditions and diseases etc.

ESSENTIAL FUNCTIONS:

EMI Coordinator:

  • Works directly under the delegation and supervision of the Control Desk Manager/OR Director to assist with the orientation and education of OR Tech I, II, and III.

  • Assist with the maintenance of proper inventory of supplies needed for their specialty.

  • Maintains responsibility for timely reporting, to the Control Desk Manager/OR Director, any equipment issues, supplies and instrumentation concerns as expressed to them by the physician.

  • Works directly under the supervision of the circulator nurse assigned to the case to ensure all supplies, equipment, and instrumentation needed to perform assigned procedures, as per physician’s preference card, are gathered prior to the start of the case.

  • Assist Circulator nurse in the preparation of surgical procedures in a timely manner to allow for counts and equipment checks prior to the patient entering the OR.

  • Maintains knowledge of surgical specialties and ability to scrub for Plastics, General, ENT, GYN, Orthopedic, Pediatric, Neurosurgery, Vascular, Cardiovascular, Urology and Ophthalmology procedures.

  • Knowledge of aseptic techniques and demonstration of that knowledge in the operating room.

  • Knowledge of sterilization methods and demonstration of that knowledge in the operation room.

  • Demonstrates effective communication skills when interacting with physicians, patients, and all other members of the healthcare team.

  • Assist with review and correction of the preference card hard copy to ensure physician’s preference cards are current and legible.

  • Assist the circulator nurse with marking, on the preference card, supplies utilized/opened during the procedure for proper billing of the case.

  • Consistently displays positive behavior and communication and interaction with all members of the health care team.

  • Other duties as assigned within scope of practice.

A. Provides technical support for assigned service groups by ensuring all regular and special order equipment and instruments are operable, available the day of surgery, and properly billed.

B. Works collaboratively with sterile processing department (SPD) and communicates with all outside vendors regarding special orders for the assigned specialty area.

C. Plans, organizes, and controls operating room equipment and instrument resources and provides input into plans for equipment and instruments.

D. Establishes instrument set preparation protocols for responsible services with SPD. Can assist in training SPD technicians in these protocols.

E. Demonstrates service excellence and positive interpersonal relations in dealing with others, including patients, family members, employees, managers, medical staff, volunteers, and community members so that productivity is maximized.

F. Consistently demonstrates and incorporates principles of safety and infection control into daily activities as outlined in department policies. Uses protective equipment and takes appropriate precautions whenever there is potential for contact with blood, body fluids, and/or chemicals. Participates in department-specific fire and disaster plans.

G. Acts as a liaison between SPD and the OR.

H. Effectively communicates with physicians, physicians’ office staffs, OR staff, ancillary departments, and management regarding case scheduling, special orders, equipment, and instrumentation issues.

I. Demonstrates commitment to teamwork and coordinates effectively with other team members.

J. Treats others with respect and demonstrates excellence, justice, and compassion in daily work and relationships with others.

K. Maintains confidentiality of all information related to patients, medical staff, employees, and, as appropriate, others.

L. Trains all RNs and technicians in assigned service group in use of equipment.

M. Actively contributes to OR staff development by conducting in-services for equipment, instrumentation, and materials within assigned service group.

N. Reports to work as scheduled and on time per department policy. Time away from work is approved and taken in accordance with established policies.

O. Establishes instrument set preparation protocols for responsible services with SPD. Can assist in training SPD technicians in these protocols.

P. Resolves conflict effectively to promote win-win outcomes. Utilizes problem-solving skills to promote a positive working environment.

Q. Serves as a resource to the service group manager and team members in the use of equipment, instruments, and materials.

R. Participates in the orientation process, acts as a preceptor for new employees, and periodically reviews and adjusts the orientation program.

S. Actively participates in continuing education programs inside and outside the hospital and department to maintain competency.

T. Ensures proper distribution and management of materials by working with the service group manager, perioperative business manager, and SPD manager to develop and maintain inventory par levels, review stock usage, and process special orders as directed.

U. Assists in development and maintenance of equipment and the instrument locator system by using a standard naming and location convention.

V. Assists on an as needed basis with setup and operation of equipment and instrumentation for various cases.

W. Assists in material usage evaluation. Outdates non-moving inventory, identifies duplicate supply items, and looks for potential opportunities for cost reduction.

X. Organizes and plans for scheduled cases, setting appropriate priorities on a daily basis. Checks case carts for completeness and ensures all special items are available.

Y. Promotes minimal time lapse between patients.

Z. Obtains and processes all special schedule requests. Routinely reviews all future schedules to ensure that all special requests have been fulfilled. Assists with preference card development and maintenance.

AA. Assists in the assembly and operation of equipment to ensure patient, staff, and physician safety.

BB. Accountable for performing scheduled periodic performance and safety inspections of equipment. Keeps accurate records of all equipment inspections, maintenance, and appropriate action plans.

Creates and maintains an equipment reference manual for assigned service group.

CC. Communicates with scheduling, service group manager, and perioperative business manager any constraints that apply to the scheduling system/process regarding equipment and/or instrument loaners, repairs, and special requests, and the time element involved.

DD. Researches requests for new and special order equipment, materials, and instruments. Assists with the trial and evaluation of these products for assigned service group.

EE. Actively works with the service group manager and service line coordinator to revise instrument sets and improve instrument set utilization

What qualifications you will need:

  • Basic Cardiac Life Support

  • Certified Surgical Technician (CST)

  • High School Graduate / GED

REQUIRED EDUCATION/EXPERIENCE

  • High School education or equivalent

  • Graduate of a Surgical Technologist program or 5 years of verifiable on the job experience as a surgical technologist.

  • Specialty certification and training (CST – Certified Surgical Tech) required

  • Intermediated level after completion of surgical technologist program.

  • Specialty knowledge in minimum of four fields

  • Ability to precept Surgical Tech I, as directed
