Position Description:

Under the supervision of the Associate Director for Accreditation, the Academic Coordinator provides support with all aspects of the accreditation process while demonstrating significant independent judgment to identify and resolve potential conflicts.

Major/Essential Functions:

  • Formatting, organization and publishing content on internal and external web sites (i.e. academic calendars, current academic year syllabi, staff updates, updated policies, etc.) in collaboration with the IT support.

  • Organizes meetings, takes notes and archives proceedings.

  • Ensures conference rooms and other meeting spaces are prepared prior to use (i.e., schedules meeting rooms for committee meetings, accreditation survey team visit meetings).

  • Assists in any other tasks related to the organization of logistics for the upcoming accreditation visit. Areas of emphasis include but are not limited to: support with manual entry of data and organization of data repositories, e.g. SharePoint, and collection of files, physical documents and emails.

  • Responsible for contract coordination within the Office of Medical Education.

  • Utilizes and navigates the internal ASC system for contracting.

  • Initiates the routing process of new agreements by ensuring that proposed drafts contain all LCME accreditation components.

  • Verifies the status of agreements. Keeps accurate records of requests for contract extensions and/or amendments, renewals and cancellations of contracts. Maintains spreadsheets and database for contract files including tracking the status of all agreements.

  • Adhere to all TTUHSCEP policies, procedures and processes.

  • Personally demonstrate, display, and act in accordance with TTUHSCEP’s values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Actively promote and encourage staff across the institution.

  • Perform all other duties as assigned.

Preferred Qualifications:

  • Excellent written and oral communication skills.

  • Ability to work under pressure and be flexible within a framework of faculty and staff while using initiative and independent judgment.

  • Ability to provide excellent organizational skills to be able to complete large, complex academic projects.

  • Experience with information technology and proficient in MS, Word, Excel, Power Point, Outlook.

  • Proficiency in all Microsoft Office software and ability to learn and use TTUHSC Elp institutional software systems.

Pay Statement:
