Job Overview:

The Ambulatory Operations Manager reports to a Regional Manager (RM). The Ambulatory Operations Manager is at the front line of upholding these principles as they oversee the operations of multiple assigned practices within hub location. Manages the daily of the multispecialty physician practice ambulatory hub for the RWJBH Medical Group. The Ambulatory Operations Manager supervises ambulatory hub business and clinical functions including front desk, medical records, nursing, and ancillary services to ensure a safe and compassionate experience for our patients and their families as well as a supportive and productive practice environment for our providers and staff. The Ambulatory Operations Manager ensures optimal utilization of resources and the efficient delivery of services. The Ambulatory Operations Manager is also responsible for making sure their assigned ambulatory hub is in compliance with all applicable policies, laws and regulations.

Qualifications:

Required:

  • Bachelor's Degree.

  • 5-7 years of relevant experience; 3-5 years of management experience.

  • Experience with multiple specialties preferred (i.e., Primary Care, Cardiology, OB/GYN, Orthopedics, etc.)

  • Sound business management skills (i.e., budget management, supply chain, IT, HR, etc.)

  • Experience managing direct/indirect reports and relationships (internal/external)

Essential Functions:

  • Manages the practice operations of assigned ambulatory hub in accordance with the Medical Group's goals and objectives.

  • Collaborates with senior management, Providers, and internal Medical Group departments to ensure efficient and cost-effective operations in the standardization of best practices and processes.

  • Partners with Regional Manager, Regional Director of Operations, Practice Providers, and Quality Department to standardize best practices and processes throughout ambulatory hub.

  • Responsible for measuring and implementing strategies to increase quality and patient outcomes through utilization of the system's clinically integrated network.

  • Works closely with Regional Manager, Regional Director of Operations and Providers to ensure practice ambulatory hub is staffed appropriately.

  • Responsible for the management of clinical and business operations of assigned ambulatory hub, including the delivery of quality clinical services, improving patient experience, materials management, software implementations, regulatory compliance, equipment maintenance, environment of care, and facility management, making themselves or designee available after hours for emergent issues such as facility or operational issues due to weather, call outs or other unforeseen circumstances.

  • Schedules and uses staff appropriately across assigned ambulatory hub for optimal coverage whenever possible (vacations, sick etc.). Establishes monthly schedules for providers and staff as applicable.

  • Supports the strategic direction of Ambulatory Operations as well as the ambulatory hub s growth playbook by operationalizing new programs and growth initiatives.

  • Coaches, develops, educates, mentors, and holds accountable direct reports as well as fosters an environment of trust throughout their areas of responsibility.

  • Manages business functions to ensure processes are operationally efficient and effective; manages operations across multiple specialties with overall accountability of staff.

  • Develops, plans, and budgets on a strategic, tactical and operational level for and with each department.

  • Routinely reviews management reporting data to ensure operations is performing to Mangerbudget and identifies ways to improve efficiency.

  • Schedules and leads quarterly partners meeting in collaboration with senior management to review quarterly data; inclusive of financials, key performance indicators, metrics and operational discussions.

  • Collaborates with the leadership to monitor and improve key performance indicators related to appointment scheduling, patient pre-registration/registration, insurance verification, referral management/pre-authorization, co-pay collection, charge entry/capture activities, etc.; recommends and implements approved changes.

  • Upholds and communicates defined objectives for clinical hub activity; manages and maintains relationships between hospital/medical group and institutional partners (i.e., JAG-ONE, RadNet/NJIN, LabCorp, etc.)

  • Participates in risk management assessments for the clinical hub and works to mitigate vulnerabilities.

  • Performs other related duties as necessary.
