Position Summary

The Special Assignments Coordinator within the Business Operations Team, oversees the operations, and management of group housing exceptions requests, assists with the management and administration of specialized housing assignments processes, verifies and processes key housing database needs and oversees financial processes related to specialized housing assignments. This position will report to the Assistant Housing Manager who leads the unit responsible for specialized housing assignments operations.

Characteristic Duties and Responsibilities:

  • Working with a variety of campus partners to ensure group housing exception process is followed and communicated with partners and students.

  • Strategically and intentionally build relationships with units across campus to ensure the accuracy of data and integrity of processes.

  • Oversee processing group housing exceptions including regular communication to team and students.

  • Oversee housing fee and advance payment processes for approximately 900 students, including templates, operations, and auditing.

  • Audits housing and financial records to determine if payments have been received and reconciled, generates reports regarding no-payments.

  • Receive elevated customer calls related to areas of responsibility and provide an excellent customer experience.

  • Working with Digital Strategies and Services Team in partnership with Business Operations to ensure all selection periods are tested and ready for students along with teams are trained and ready to go live.

  • Collaborate with Business and Data Analyst to verify data, build reports, and share results on both a unit and divisional level.

All positions in SLE are designated as critical status. In the event of a university closure, modification, or suspension of operations due to snow or other emergency condition, persons in this position are expected to make all reasonable attempts to report to work as scheduled for the duration of the closure/suspension. If a person has an approved remote work agreement to work a portion of their normally scheduled work hours remotely, they may be called upon to work on-site to serve the MSU community.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a business-related field or in a field which corresponds to the particular department of employment; one to three years of related and progressively more responsible or expansive work experience in office procedures, or in performing responsibilities related to the operational activities of the employing unit; experience with word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; or an equivalent combination of education and experience.

Desired Qualifications

Bachelor’s Degree; 1 to 3 years of experience in a related field; working knowledge of the Americans with Disabilities Act, FERPA & Fair Housing Act & working knowledge of state laws and regulations of Workers Compensation; demonstrated ability to coordinate and communicate with employees, departments, and medical professionals on a daily basis; experience working with students from a diverse background and demonstrated commitment to creating inclusive environments for students & experience working directly with people from a diverse racial, ethnic, socioeconomic, LGBTQIA+, and gender backgrounds; ability to flex communication style to multiple cultural environments and multiple social identities.
