Position Summary

The IMPART Alliance and AgeAlive teams are seeking a highly organized Research Administrator Assistant to support the research team with administrative tasks. Both the IMPART Alliance and AgeAlive programs reside within the College of Osteopathic Medicine, Department of Family and Community Medicine.

Primary responsibilities for this role include supporting administrative pre-award assistance for future grants and post award work for research grants, support to research leads on post award tasks that include managing the IMPART grants mailbox and organizing and monitoring electronic files for mini grants, sub awards and professional service agreements. Assisting the Fiscal Officer and leads to review budgets for accuracy before submission and entering into EGrAMS. Processing transactions to pay vendors and recipients of sub-awards and mini grants. Preparing and processing requisitions to set up Purchase Orders for vendors. Assemble proposal documents with research administrators which may include collecting resources and data plans. Reviewing agency guidelines for submissions, perform initial review of documents for formatting, converting files and uploading appropriate files into the application submission system. Provide support to other research administrators, departments, and staff to meet the project and departmental needs. Balance a variety of tasks to deliver a quality analysis within the project deadlines. Update grant lists as needed or when new account numbers are obtained. Gather information required in audits and site visits, collect data for reports, maintain or reconcile accounting records for grants and awards and process orders for supplies, services needed for the grant which includes processing and preparing appropriate documents required for the project. Other duties as directed by FO, leads and PI on the grant.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a two-year degree; and one to three years of post-award grant transaction work related and progressively more responsible or expansive work experience in word processing, spreadsheet and scheduling software, maintaining account records and/or database software; desktop publishing software, presentation and webpage software; or an equivalent combination of education and/or experience. May require technical knowledge or training related to the field of employment. Requires the completion of Essentials of Research Administration (MSU certificate) or equivalent within one year of hire.

Desired Qualifications

Post award grant transaction work, willingness to work in a fast-paced deadline driven environment; Experience with MDHHS grant language, budgets and timelines. Experience in the Electronic Grants Administration & Management System (EGrAMS).
