Michigan State University Project/Event Coordinator in East Lansing, Michigan
Position Summary
This role involves logistical support, transaction processing, and occasional national travel. The initial appointment is for one year, with renewal contingent upon positive annual performance reviews, continued funding, and mutual agreement.
This position requires strong organizational skills and the ability to travel nationally. While this position is end-dated, we seek candidates who aspire to grow their careers and contribute to our institution's mission.
Key Responsibilities:
Event Coordination
Plan and execute logistics for conferences, workshops, and seminars, including venue selection, promotional materials, and schedules.
Collaborate with planning committees and hotels to manage layouts, vendor exhibits, catering, and offsite activities.
Provide remote support, such as registration, audiovisual setup, and liaison with venue staff.
Travel and Administrative Support
Arrange air travel, lodging, and car rentals for guests and employees (400+ bookings annually).
Process reimbursements and ensure compliance with travel policies.
Manage office supplies and assist with general administrative tasks as needed.
Payment and Registration Management
Coordinate payments for events, training, and office needs.
Reconcile expenses and revenues.
Assist with processing conference registrations and payments.
National Travel (As Needed)
Travel up to 4–8 times per year to support NCPP conferences and training programs.
Other Duties as Assigned
Minimum Requirements
Knowledge equivalent to that which would normally be acquired in a four-year college degree in Public Relations, Communications, Business or in an area related to the work being performed; one to three years of related and progressively more responsible and expansive work experience in a field related to the position including planning and managing special events; or an equivalent combination of education and experience. Experience in word processing, database, spreadsheet, desktop publishing and/or presentation software required.
Desired Qualifications
Demonstrated experience in organizing and managing events, workshops, or educational programs.
Experience collaborating with diverse stakeholders, including those from industry, academia, and government entities.
Familiarity with MSU financial systems.
Strong organizational and project management skills.
