COUNTY OF VILAS Juvenile Intake Case Manager in EAGLE RIVER, Wisconsin

JOB REQUIREMENTS: The Judicial Assistant provides legal secretarial and office management duties for the Circuit Court Judge and Court Commissioners. All duties and responsibilities are performed under and subject to the direction of the Vilas County Circuit Court Judge. 1. Manages court calendar, including scheduling of trials and court hearings. Posts daily and weekly calendars. Informs other offices/agencies of calendars. 2. Informs Sheriff\'s Office of transport of defendants in custody. 3. Performs presiding judge secretarial duties, including but not limited to, scheduling his/her meetings, continuing education, conferences and other activities. Maintains correspondence and receives assignments from the District Court Administrator. 4. Performs secretarial duties for the presiding judge\'s committees. 5. Coordinates scheduling with the Clerk of Courts, Register in Probate, Juvenile Intake and Family Court Commissioner, District Attorney\'s Office, Corporation Counsel, and Attorneys of record. 6. Performs secretarial duties for Court Commissioners, visiting Judges and the presiding judges out of county assignment, including but not limited to, scheduling cases, arrangements for courtrooms, preparing and mailing notices, preparing mileage reports and written correspondence. 7. Manages a pretrial conference calendar, including providing correspondence to the District Attorney\'s Office and named parties; supplying court hearing dates based on an agreement, a case to be set for trial, or a non-attending party. 8. Reviews court records and statistical reports to ensure proper caseload management and compliance with established case processing timelines. 9. Conducts scheduling conferences with parties and attorneys to establish deadlines and objectives for trial preparation. 10. Prepares and mails court notices to attorneys and parties 11. Type\'s opinions, correspondence, jury instructions and verdict forms for presiding judge and/or visiting judges. 12. Serves as Notary Public for Vilas County Circuit Courts. Duties include but are not limited to, notarizing restraining orders, estate planning and small claims documentation. 13. Acts as liaison to Family Court Mediation Services. Performs duties for mediation including qualifying parties, scheduling mediation, providing conference rooms and preparing mediation orders. 14. Performs timesheet approval for Judges Office. 15. Acts as receptionist for the Circuit Courts. Duties include: answers and screens telephone calls, processes mail, greets visitors to the office, provides general court information to the public and refers to other agencies or departments as necessary. 16. Arranges videoconferencing and telephone conferencing. 17. Performs general office management. 18. Maintains and updates presiding judge\'s legal reference materials. 19. Contacts and schedules interpreters as needed for court hearings. 20. Orders transports of individuals in custody in another jurisdiction with the Sheriff\'s Office. 21. All other duties as assigned. ***** OTHER EXPERIENCE AND QUALIFICATIONS: General knowledge of legal practices and familiarity with Circuit Court procedures. Excellent English grammar and spelling skills; ability to accurately type 55 words per minute and transcribe from dictation. Ability to work independently (without constant supervision and specific assignment) and cooperatively with others, and work in a stressful environment. Must be proficient in, and display organization, prioritization, written and interpersonal communication, knowledge, and use of contemporary office procedures and equipment (including CCAP automated case managements system). Ability to work well with other court staff, other agencies and the public. Ability to maintain a high level of confidentiality, discretion and integrity. Confidence to embrace and master new technology.
