COUNTY OF VILAS Administrative Assistant II - Soc Serv in EAGLE RIVER, Wisconsin
JOB REQUIREMENTS: Job Summary: This Administrative Assistant II position performs a variety of clerical, secretarial, and administrative duties to support the operations of the Vilas County Human Services Department and the Youth Justice Unit. Works in tandem with other Administrative Assistant II and acts as back up to their duties as needed. All duties and responsibilities are performed under and subject to the direction of the Financial Services/Admin Supervisor. SECTION II: ESSENTIAL DUTIES AND RESPONSIBILITIES: Administrative (General Office Duties) 1. Responsible for posting agendas and taking meeting minutes for Department Board meetings and any other meetings as requested. 2. Responsible for posting Public Hearing notices as required. 3. Keeps County and Department policy documents updated with the most current policies. 4. Updates and maintains the Department\'s website including Resource Guide for both website and lobby. 5. Acts as receptionist, serves clients, employees and the public in person and on the telephone; responsible for accurate and timely front desk communications and manages posted flyers/brochures. 6. Provides clerical support and direct project administrative support to the department. This includes, but is not limited to typing reports, narratives, and other correspondence; maintaining various databases and running reports; opening and distributing mail, filing, copying and preparing intake calendars. 7. Maintains Accounts Receivable, including receipting/tracking checks and distributing to proper personnel. 8. Maintains/destroys files in accordance with the Vilas County Records Retention Policy. 9. Maintains strict confidentiality of all client information, records, and office operations; treats clients, co-workers, and the public with dignity regardless of race, color, creed, disability, or nation of origin. 10. Attends training as required by the Department to enhance job performance as approved by the supervisor. 11. Assists with emergency planning activities, such as registration, relocation and shelter for persons subject to disasters and participates in on-call for emergencies as advised by the Emergency Management Department. 12. All other duties as assigned. Youth Justice Duties As Needed: 13. Accountable for timeline tracking of all referrals coming into the office related to Youth Justice cases throughout the history of the case. 14. Responsible for tracking the Youth Justice restitution and community service program. Includes processing cases involving restitution/community service and monitoring program compliance. Informs Youth Justice workers of unpaid restitution/community service prior to the expiration of the order to allow sufficient time for staff to follow up accordingly. 15. Assists Youth Justice staff with processing of victim witness paperwork. ***** OTHER EXPERIENCE AND QUALIFICATIONS: In addition to Education/Licensure - One to three years of clerical training and/or office experience preferred. Knowledge of general office operations and procedures. Ability to understand the basics of Human Service programs and communicate that knowledge to the public. Able to represent agency to the public in a non-judgmental and non-detrimental manner while always maintaining agency and client confidentiality. Ability to work with people from diverse backgrounds with understanding and respect. Ability to work independently and cooperatively with others.
