This position supports the total talent acquisition and attraction functions by coordinating a white glove experience for all candidates, new hires, and internal teams, assisting with providing a seamless executive hiring process, owning all team event scheduling, managing all invoicing and vendor connections, coordinating all pre-employment processes, and bridging the gap between hiring and onboarding new associates. This is a key role on the larger talent acquisition team. A Day in the Life: Provides a seamless and white glove experience for all candidates, new hires, and internal teams. Partners with key team members to ensure proper executive scheduling and coordination. Handles all team invoicing and vendor connections, ensuring all partnerships are provided with the necessary attention; assists with vendor management. Autonomous to determine team process improvements and involved in necessary implementations of new software/tools; empowered to assist in decision making around processes that are best for the team. Plans and facilitates all team events, creating opportunities for the TA team and larger HR team to connect. Serves as the connection between the talent and onboarding/culture teams, ensuring we provide a seamless and positive experience for all parties involved. Coordinates all pre-employment activities for candidates, including background and drug screening processes. Processes new hires in ATS (Workday). Initiates I-9 processes. Partners with HR operations to ensure all new hire paperwork is completed. Crafts manuals, job aids and facilitates/participate straining on new programs/processes as they arise. Keeps team documents and resources organized and up to date. Prepares and maintains hiring manager and applicant related correspondence. Assist the associate referral program. Participates and assists project teams with software implementations including testing and creating associated training. Other duties as assigned. Nice to Have: Associates or Bachelor's Degree. Prior ATS/HR systems experience. Required Skills and Experiences: 5+ years of related experience. All relevant experience including work, education, transferable skills, and military experience will be considered. Project management/coordination skills. High sense of business acumen in writing and in person/over the phone, especially when interacting with ELT and board members as required when hiring higher level candidates and ensuring a proper handoff for onboarding. Exceptional organizational skills. Excellent computer literacy skills including intermediate knowledge of PowerPoint, Word and Excel, working knowledge of SharePoint and other collaboration tools. Ability to juggle multiple priorities at once. Excellent communication skills, verbal and written.
