Essential Duties and Responsibilities:

The office Intern administratively supports the Payroll Manager and AP Manager.

Job Title: Intern

The ideal candidate will be assigned to assist the Payroll Manager and AP Manager with support. The candidate must be able to learn department required processes and have ability to multi-task. Must work well as a team with other specialists and under pressure.

Duties:

  • Assist with processing payroll related documentation relating to new employees, terminations, and transfers

  • Maintain spreadsheets and track various payroll data

  • Sort and distribute payroll team mail

  • Assist with copying, filing, and other administrative payroll projects

  • Maintain and organize various filling systems, in accordance with company policy and best practice

  • Prepare payroll records for off- site storage

  • Perform data entry for records

  • Assist with reconciliation of vendor statements, including communicating with vendors and responding to inquiries concerning payment or invoice issues

  • Assist Project Managers in the reconciliation of invoices to Purchase Order and Subcontract commitments

  • Obtain all signatures for checks and distribute checks accordingly

  • Prioritize invoices according to cash discount potential and payment terms using accrual list; resolve purchase order, contract, invoice and\or payment discrepancies and documentation; ensure credit is received for outstanding credit memos.

  • Work with current AP specialists to see full flow of invoices and processing

  • Assist with additional HR and AP projects as needed

Physical Requirements

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Compensation Range: $16 - $20 an hour
