Purpose

As Executive Assistant to the CEO, you will contribute to a high-performance environment, supporting the vision, values and business strategy for the Executive team. This is an exciting opportunity to support the CEO, Board of Directors and Executive Management deliver Scotiabank’s Europe growth strategy.

The main focus of your role will be to support the Chief Executive Officer. You may be required to provide ad-hoc back up support for the Facilities Manager and Receptionist during absences.

You will work directly with our CEO (Ireland), an inclusive leader with global experience across Canada, Asia and Europe, focused on building teams, driving change, and leading and executing growth strategies.

What You’ll Do:

• Provide a high standard of comprehensive administration support to CEO, ensuring that all Chief Executive Officer priorities are met, organisational goals are achieved, and best practices upheld.

• Liaise extensively with the Dublin Leadership Management Team amongst other business areas, exercising discretion when handling confidential and sensitive information.

• Be responsible for scheduling meetings, co-ordination, circulating material and take comprehensive minutes at each monthly Dublin Executive Committee meeting, and back-up support for the Dublin Incident Management team meeting.

• Co-ordinate travel arrangements, review submitted travel requests, and schedule complex itineraries.

• Regularly liaise with other Executive Assistants globally to manage inbox requests, coordinating multiple calendars to schedule, manage and maintain a complex diary within multiple time zones.

• Manage and review contracts, organize onsite and offsite key meetings/presentations, manage invoices, expenses and credit reconciliations.

• Ensure effectiveness of day-to-day business controls across operational risk and regulatory risk and the code of conduct.

• Champion a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.

What You’ll Bring:

Excellent written and verbal business communication skills.

• Advanced knowledge of Microsoft applications, Diligent Board Books software as well as Outlook.

• Well-developed interpersonal skills, strong organizational and time management skills to provide a high level of service and maintain working relationships locally and globally.

• Sound judgement and awareness of operational activities and responsibilities to assess the urgency and/or confidential status and importance of enquiries. Ability to recognize potential issues and effectively communicate escalation.

• Acts with complete discretion when handling confidential and sensitive information.

• Proactive, self-motivated, and capable of working both independently and in a team environment.

• Conduct & cultural awareness are mandatory.

• Strict adherence to guidelines, policies, and procedures.
