The Scheduler plays a pivotal role in coordinating and supporting clinical services to ensure seamless client care across the agency, with a particular focus on supporting the Transcranial Magnetic Stimulation (TMS) team. This position involves managing appointments across various services, administering the TMS program, verifying insurance coverage, and serving as a primary client resource for scheduling and treatment information. The Scheduler collaborates closely with clinical teams to align scheduling with protocols, maintains accurate records using electronic health systems, resolves scheduling conflicts proactively, and supports administrative operations to enhance efficiency and continuity of care. Through effective organization and communication, the Scheduler contributes to the smooth operation of clinical services and client satisfaction.
This is a full time, 40 hour per week position based out of our Derry Office and will be three days in the office and two days remote.
Major Functional Areas and Description of Duties
Schedule Clinical Appointments: Coordinate and schedule appointments for clients across various clinical services, ensuring efficient resource utilization and clinician time.
TMS Program Administration: Act as the primary administrator for the TMS program, supporting new and existing clients by scheduling consultations, treatment sessions, scanning records, and follow-up visits. Collaborate on community outreach initiatives to promote TMS services through events like community lunch and learns, while ensuring the smooth day-to-day operation of TMS services.
Insurance Verification: Verify insurance coverage and ensure all necessary documentation and approvals are in place for treatments, including TMS and related services.
Client Communication: Serve as a primary resource for clients, providing appointment reminders, treatment information, and answering questions about scheduling and insurance coverage.
Collaboration with Clinical Teams: Work closely with clinical staff to ensure the timely and accurate scheduling of all treatments and appointments, aligning with clinicians' availability and treatment protocols.
Maintain Accurate Records: Utilize electronic health record systems to maintain accurate and up-to-date records of scheduling activities, documenting all changes, cancellations, and confirmations.
Problem-Solving and Troubleshooting: Address any scheduling conflicts, cancellations, or issues, and proactively find solutions to minimize disruption to client care and the clinic operations.
Administrative Support: Provide administrative assistance, including outreach to clients for missed or rescheduled appointments and coordination with staff to prioritize scheduling needs.
Qualifications and Skills
High school diploma or equivalent required.
Minimum of 1-2 years of experience in scheduling, administrative, or healthcare coordination roles, preferably in a clinical or behavioral health setting.
Familiarity with insurance verification processes and healthcare scheduling systems
Excellent organizational and multitasking skills, with attention to detail.
Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook, Teams).
Ability to communicate effectively and professionally with clients and clinical staff.
Demonstrated ability to prioritize tasks in a fast-paced environment and maintain professionalism under pressure.
Ability to work independently and as part of a team
Physical Demands and Working Conditions
The majority of the work takes place in an office setting. Manual dexterity is needed to use computers and standard office equipment. The ability to sit for extended periods of time is required. Training is completed in office setting. Once fully trained, work will be a mix of office setting and remote work may so reliable internet and phone access is required.

The Center for Life Management has partnered with New England College to offer a Master’s Degree! This is an exciting opportunity for CLM staff to earn a Master of Science in Clinical Mental Health Counseling (MS) degree in 3 years.
Who’s Eligible and What’s Required:
Must be a regular, full-time CLM employee in good standing for 9 months or more.
Must hold a Bachelor’s Degree.
Must agree to a five (5) year commitment of full-time employment in good standing with the Center for Life Management (beginning from start date/year of Professional Development Program participation).
Participants must maintain a B average to continue participation in the program.
