OnBase Administrator:

  • A high-level understanding of OnBase Configuration, Studio, Time Management Console, Thick Client, and Unity Clients.

  • Oversees the configuration of OnBase for ES which includes user groups, user maintenance, keywords, unity forms, workflows, reporting dashboards, document import processor (DIP), PDF visual process, timers, databases, batch scanning etc.

  • Partners closely with the University Information services (UIS) enterprise content management team to discuss system upgrades, future roadmap, share ideas, and administration support.

  • Apply information governance standards and use standardized process to ensure content integrity that focuses on structure, policies, and procedures.

  • Ensure document types comply with relevant data protection, privacy regulations, user security, and record retention that align with university policy.

  • Identify gaps and recommend improvements to streamline processes to enhance efficiencies and overall processes.

  • Create and maintain a variety of reports, analytics, and dashboards to support data-driven decision making.

  • Develop and deliver training programs to educate department staff and end-users on system functionalities and standard methodologies.

  • Oversee web accessibility to ensure our OnBase Unity Forms and processes are accessible for all users.

Team Leadership and Management:

  • Ability to manage, lead, and develop current and new system administrators.

  • Performs employee reviews, assessments, goal setting and helps determine appropriate professional development opportunities.

  • Serve as escalation point for department OnBase requests, questions, and concerns.

  • Provide guidance to staff and assist in removing obstacles as they arise.

  • Ensures a high level of customer service and business partnership is maintained by all members of the team receiving and handling requests from internal and external customers, representing the University in a positive and professional manner.

  • Hire and train staff, as needed.

  • Responsible for the teams efficient processes, workflow, and timely completion of tasks.

Project Coordination:

  • Understands the different services, products, and teams across ES representing a broad horizontal and vertical view of ES needs to support content services process development, future expansions, and continuous improvements.

  • Oversee direct reports active projects to drive a positive outcome from planning to execution.

Qualifications:

Minimum Qualifications:

  • Bachelor's degree in Human Resources, Information Technology, Business Administration, or a related field from accredited college or university (work experience can be substituted on year-for-year basis for education).

  • Five (5) years of OnBase experience.

  • One (1) year of experience in a team lead or supervisory role, which includes assigning and reviewing the work of others, providing guidance to internal and external team members, and assisting management with performance reviews (this requirement may be substituted by formal leadership training).

  • OnBase Certified:

  • OnBase Certified System Administrator (OCSA) or

  • Hyland Certified OnBase Administrator Professional (HCOAP)

  • OnBase Certified Workflow Administrator (OCWA) or

  • Hyland Certified OnBase Workflow Administrator (HCOWAP)

  • OnBase Certified WorkView Administrator (OCWV) or

  • Hyland Certified OnBase WorkView Administrator (HCOWV)

Preferred Qualifications:

  • Bachelor's degree or post-baccalaureate degree in a related field.

  • Seven (7) years of OnBase experience.

  • Two (2) years' experience in a team lead or supervisory role, as indicated above (one year of this requirement may be substituted by formal leadership training)

  • Experience working in institutions of higher education.

  • Experience working with State and Federal labor laws and regulations.

Knowledge, Skills, and Abilities:

  • Knowledge of ES team processes and structure.

  • Knowledge of web accessibility analysis, design, and development.

  • A certified OnBase System Administrator (OCSA) or Hyland Certified OnBase Administrator Professional (HCOAP):

  • Experience using the OnBase Configuration application.

  • Experience using the OnBase Thick Client.

System Administration, which also houses the Office of the President, is located in the uptown neighborhood of Denver with a few smaller offices located on the campuses. The OnBase Administration Manager is part of the Employee Services (ES) department within System Administration. This position will lead a team of two (2) full-time OnBase system administrators who are responsible for the support, development, and maintenance of department content using OnBase by Hyland enterprise platform. Along with leading the OnBase team, this position will also develop, test, debug, migrate, maintain, and support the Board of Regents (BOR), the CU Health Plan (Trust), and multiple ES teams such as benefits, leave team, payroll, HR, communications, and business operations. In addition to the system administration work, this position will proactively seek opportunities to enhance ES processes through automation and system enhancements for customers across System Administration. The OnBase Administration Manager position will also oversee department document groups/ types, retention, user access, reporting, DIP processes, lifecycles, databases, unity forms, user accessibility, and multiple projects at a time. This position will coordinate projects and need to have effective management skills, be a highly organized professional, self-directed, attention to detail, fast learner, a team player, and be able to respond well to constantly evolving priorities. As new OnBase upgrades are released, it is important that this position continually reviews current processes and updates, as needed, by proactively brainstorming how customers could use the new releases. This position reports to the HR Business Systems Program Director of Employee Services and is exempt from the State of Colorado Classified Staff system.
