Mission of Role/Position Summary:
The Corporate Support Services Administrator supports the company and its clients by managing special projects, ensuring work quality, and delivering administrative and compliance tasks. This role involves distributing tasks, performing quality assurance, tracking government licenses and certifications, and assisting with insurance and contractual compliance. The sub-contractor also prepares status reports, attends client meetings, and ensures projects meet scope and timeline requirements. The position will be guided in all activities by ACDC’s Corporate Values Platform.
Tasks, Duties, and Responsibilities:

Special Projects
Work Distribution and Quality Assurance:
Manage the distribution of tasks.
Perform quality assurance and quality control on completed work.
Reporting and Client Communication:
Provide updated projections to the client.
Develop weekly status reports with Key Performance Indicators (KPIs).
Assist in direct client support and deliverables as necessary.
Project Assistance:
Assist with program operations related to emergency management consulting services.
Ensure all aspects of assigned projects are completed within the contract scope and timeline.
Client Interaction:
Attend meetings and conference calls with clients.
Administrative:
The Independent Sub-Contractor shall support the COS in administrative and business compliance tasks by assisting with:
Government Business Licenses/Registrations:
Track all active and new business licenses/registrations.
Renew active business licenses/registrations.
Apply for new business licenses/registrations.
Coordinate payment and compliance of active and new business licenses/registrations.
Manage all reporting, as needed.
Small Business Certifications:
Track all active and new small business certifications.
Renew active small business certifications.
Apply for new small business certifications.
Assist in the management and upkeep of small business certifications.
Manage all reporting, as needed.
Contracts & Compliance:
Assist with Insurance and insurance requirements based on contractual obligations.
Assist with compliance tasks, as requested.
Perform other duties as assigned.

Supervisory Responsibilities:

Expected Hours of Work:
Schedule may vary. Work on evenings and weekends may be required. Dependability and punctuality are paramount.
Travel Requirements:
Up to 50% travel is expected for this position.
Must be willing to travel and deploy to client sites for extended periods of time.
Physical Demands:
Mobility required on-site with clients.
Sitting or standing for hours at a time.
Ability to work at a computer for extended periods of time if needed.
Ability to lift up to 30 lbs. repetitively throughout the day and as needed.
Working Environment:
Emergency management personnel may work in an office or home environment or be deployed to the field which may require working outdoors in adverse weather conditions.
Work may be on-site with clients ex: EOC, hospital, debris sites or local government buildings.
All AC Disaster Consulting (ACDC) positions are remote work site positions with the home location agreed upon at time of hire.
If the remote work site locations change, ACDC Human Resources must be made aware, and leadership needs to approve any site changes for business registration and payroll tax purposes.
Requirements
Experience/Education Required:
A bachelor's degree in business administration or a related field is required. Years of experience may substitute for the education requirement on a year for year basis, in addition to the minimum requirements.
7+ years of experience in business administration or corporate support, preferably in the Emergency Management field.
Experience/Education Preferred:
10+ years experience in business administration, corporate support, or related field.
FEMA ICS certifications (e.g., ICS-100, ICS-200, ICS-700).
Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
Proficient with Salesforce.
Additional Qualifications:
Must be 18 years of age or older.
Eligibility to work in the United States without employer sponsored visa is required. We are not able to employ those located outside of the US.
Must pass company and any applicable client background check and reference check upon offer of employment.
