Description of Job

This position is open only to residents of Colorado.

WHAT YOU WILL DO

The Administrative Assistant II provides administrative support for staff attorneys and paralegal s in the Workers’ Compensation Unit within the Civil Litigation and Employment Law Section. The position performs duties including, but not limited to, the following:

  • Assists Unit attorneys and paralegals with creating, producing, proofreading, and formatting correspondence, other documents and reports

  • Acts as liaison for legal services requests from clients, the public and/or court personnel by telephone and through written communication

  • Serves as the gatekeeper for the flow of written, electronic, and telephonic communications and ensuring that emergency matters are promptly referred to the appropriate attorney and paralegals

  • Processes, distributes and maintains electronic case files for the unit by preparing all case folders for new cases, updating pleading and correspondence indices, organizing physical and electronic correspondence files, and organizing file documents

  • Archives and closes cases using office and section policies and procedures

  • Coordinates resolution of computer and technology problems for the unit

  • Transmits documents and copies to the appropriate recipients

  • Files documents in court

  • Provides backup for other support staff work in the Section when needed or when another administrative assistant is out of the office

    This recruitment may be used to fill more than one Administrative Assistant II positions in the Civil Litigation and Employment Law section.

    Salary note : Although a salary range is listed, salary will be set commensurate with the successful candidate's qualifications and in compliance with the Equal Pay for Equal Work Act.

MINIMUM QUALIFICATIONS: Please document all relevant experience in detail on your application. Experience will not be inferred or assumed. Any part-time experience listed will be prorated.

Experience Only:

Two (2) years of general clerical/office support experience as the primary function of the job .

OR

Education and Experience:

A combination of related education and/or relevant experience in general clerical/office support as the primary function of the job equal to two (2) years . This must include at least one (1) year of the general clerical/office support experience to qualify.

If qualifying under the substitution, you will be required to provide a copy of your transcripts.

Note: Candidates possessing a foreign degree must submit a translation (evaluation) of their degree from an accredited institution, such as The National Association of Credential Evaluations Services in order to be given credit for the degree.

Preferred Qualifications: In addition to the minimum qualifications, if you possess any of the following specifically include the details on your application, as this information will be used to assess your qualifications and may be used to determine a top group of applicants.

  • General clerical experience in a law office or legal setting, including experience supporting attorneys with the litigation process, including assembling documents and exhibits for pleadings/court filings and organizing case files

  • Experience organizing documents and electronic file systems

  • Experience working with medical files or records

  • Experience processing electronic documents

  • Customer service focus

  • Strong communication skills

  • Outstanding organizational skills

  • Strong attention to detail

    Required Competencies :

  • Requires proficiency with MS Office applications

  • Requires familiarity with and comfortable using technology

    Conditions of Employment:

  • The Workers Compensation Unit offers flexible work arrangements. New employees are generally expected to work in-office 3-4 days a week. Additional flexibility will be considered for employees after a successful onboarding and training period. Please note, flexible work arrangements may change at any time based on business needs.

    Appeal Rights:

    An applicant who has been removed from an employment list or removed from consideration during the selection process may request a review by the State Personnel Director.
