SCOPE OF POSITION :

Coordinates work of assigned area(s), coordinates Production Work Order & Sales Order Statuses including Production Receipt/Shipment/Pick Release/Invoice within applicable systems (ERP and Smartsheet) and assists Operations team in material transaction support i.e. issuing of material to assure proper distribution of work load, timely operation of the procedures and completion of work on a timely basis. Coordinates Open Order documentation and fulfillment with Project Management, Customer Service, Shipping and Billing Departments for timely processing of open order documentation and billing (as applicable).

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Coordinates workflow of area(s) for production receipts, pick release, pick confirms and billing release to meet consistent processing times. (Example 1-day invoicing and monthly closing schedules)

  • Ensures that work group has necessary resources to complete requirements. Provides feedback to supervisor.

  • Responds to requests via telephone or e-mail when necessary from internal customers.

  • Maintains files and records in an organized manner and scanning information into IMS, manages order statuses in Smartsheet as required by supervisor (as applicable).

  • Issues and corrects errors in inventory location and quantity (as applicable).

  • Assists warehouse personnel, in conjunction with the Supervisor, with material location management including cycle count and lot control (as applicable).

  • Processes daily clean-up reports and corrects any discrepancies.

  • Ensures conformance to all aspects of the ISO 14001 standard and Construction Specialties’ Environmental Management System (EMS), including its environmental policy while performing job functions that may have a significant impact on the environment.

  • Performs other duties assigned by management

Qualifications

KNOWLEDGE/ SKILLS/ EXPERIENCE/ EDUCATION : (Minimum Education and/or Experience required)

  • High school graduate with courses in Business Education; post high school courses pertinent to the work performed would be beneficial. One to three years experience to become familiar with the Company's billing system and procedures, proper methods of coordinating employees, and to acquire the technique of handling customer inquiries and complaints.

  • Good analytical skills.

  • Knowledge of departmental procedures.

  • Computer literacy.

  • Strong organizational skills.

  • Ability to meet deadlines and pay attention to detail for sustained periods of time.

  • Good interpersonal skills needed to coordinate staff and work effectively with other departments.
