Job/Position DescriptionAdministrative Asst IIThe Administrative Assistant II is appointed by and administratively responsible to the Unit Director. The Administrative Assistant performs responsible complex technical or semi-professional administrative work assisting the Unit Director, not limited to disseminating information, monitoring deadlines, and assignment. Serves as receptionist for the Unit Director's office providing assistance and answering inquiries from employees, consumers, families, and the general public on a daily basis. Compiles and types routine and non-routine correspondence, memorandums and reports. Maintains department filing system and orders supplies. Completion of work requires occasionally originating new methods and/or techniques and decisions are varied. Work involves performing a variety of technical/administrative duties. This position requires minimal supervision and frequent contact with the public in person, by correspondence, and by telephone. Open, date, sort, and distributes mail2. Prepare and proofread correspondence, forms, or other documents (for example, letters, memos, travel or purchase vouchers, job announcements).3. Communicates on an intermediate level with others (internally or externally) to provide, exchange, and/or verify information both written and verbal communication.4. Provides intermediate level technical assistance to others (for example, staff) on policies, procedures, rules, regulations, standards, or requirements.5. Answers telephone, refers callers to appropriate staff, takes messages, and answers basic questions.6. Arranges travel for staff (for example, hotel, transportation).7. Maintains records, files, or logs (for example, administrative, personnel, correspondence, forms, documents, purchasing, case files, tracking logs, including filing, retrieving, or purging and handle sensitive and confidential information).8. Prepares moderately complex ongoing or special narrative or statistical reports.9. Knowledge of personal computer-related procedures and software packages including but not limited to Microsoft Office (i.e. MS Word, Excel, and PowerPoint).10. Ability to prepare concise technical reports and effective business correspondence as well as compose effective correspondence, memorandums and other documents using business English, grammar, spelling, punctuation and arithmetic.11. Ability to work with high volume and plan and organize multiple completing tasks effectively and efficiently.12. Ability to prioritize and multi-task as well as organize work and complex files.13. Skilled in problem solving, time management, planning and organizing workload as to meet deadlines.14.
