The Administrative Assistant I manages the front of the office, performing an array of duties that support the department or program by maintaining efficient workflow; completing day-to-day operational needs, assisting with student and staff employment, maintaining trackers, reviewing/collecting documents, responding to phone calls, faxes, and emails, and a variety of other tasks.

Job duties to include but not limited to:

  • Answers telephone and gives information to callers, takes messages, and transfers calls to appropriate individuals.

  • Greets visitors or callers and handles their inquiries; or directs them to the appropriate persons.

  • Opens, reads, routes, and distributes incoming mail or other materials and answers routine inquiries.

  • Sets up and manages paper and electronic filing systems.

  • Creates, maintains, and enters information into spreadsheets and databases.

  • Maintains scheduling and event calendars. Schedules and confirms appointments for clients, customers, or supervisors.

  • Completes forms in accordance with agency procedures.

  • Makes copies of various documents, places them in proper files, and distributes them to appropriate staff.

  • Locates and attaches appropriate files to incoming correspondence requiring replies.

  • Composes, types, and distributes meeting notes, correspondence, and reports.

  • Provides services to customers, such as order placement or account information.

  • Mails various items including letters, reports, and promotional materials; and prepares packages and arranges for them to be shipped.

  • Orders and distributes supplies.

  • May take meeting minutes, and/or prepare material from dictation.

  • Other duties as assigned, within the scope of duties permitted under this job title.

    Job Requirements:

Minimum Qualifications:

  • The successful candidate must be reachable for appointment on a present, permanent Civil Service eligible list for Administrative Assistant I; or NY HELPS; or

  • Previously held the Administrative Assistant (Secretary I) Title; or

  • Be eligible for transfer to the Administrative Assistant I title, or Administrative Assistant Traineeship title.

    Additional Information:

  • Start Date: September 30th, 2024 or as soon as possible

  • Full-time, Permanent

  • 12 Month Calendar Year

  • Neg unit - CSEA 02 ASU

  • Grade: SG-11

  • Starting Salary: $46,306 (AA1) and TBD if eligible for traineeship based on Civil Service guidelines.

  • Location: SUNY Delhi

  • Reports to: TBD
