Insight Global Executive Assistant in Deerfield Beach, Florida

Job Description

The Executive Assistant will support the senior executive of a family office in a fast-paced position that requires being able to juggle a multitude of complex projects. The ideal candidate is an independent thinker who has good judgment and manage unpredictable situations. The candidate must be well organized, very efficient, extremely resourceful, and have an adaptable and positive attitude. Some responsibilities include:

-Manage executive's calendar, schedule appointments and ensure executive is on time

  • Arrange complex travel and accommodations, compile documents for travel-related meetings

  • Assist in management of the team including vacation requests, expenses and other approvals

  • Prepare all materials for executive in advance of meetings, presentations Perform clerical duties such as filing, typing, and copying documents

-Organize files and maintain contact database

-Screen and respond to incoming calls and correspondence

-Ability to work with other assistants closely to manage the executive staff as custodian of corporate documents and records

  • Act as direct liaison with vendors/customers/partners

-Track team projects

-Take meeting notes and action items as needed

Salary 90-130K

Skills and Requirements

-10+ years of experience as an executive assistant

  • Excellent time management and project coordination skills

-Ability to handle multiple tasks simultaneously, prioritize high volume workload and meet strict deadlines for tasks/assignments good attention to detail and follow-through skills

-Team player, works well with others, able to delegate effectively

-Demonstrated good judgment, ability to deal with confidential and sensitive issues

-Proficient with MS Office (Word, PowerPoint and Excel) and Outlook

-Must have experience with submitting expenses in Concur null
