Job Brief Administrative Assistant DCS Infoscitex Sector is seeking a highly motivated Administrative Assistant to join our team in Dayton, OH. Infoscitex is an employee-owned organization known for creating agile technology solutions across the U.S. Defense, Aerospace, Human Factors, and Security markets. In this role, you would work closely with the ASTRA Deputy Program Manager to support the ASTRA contract in all the essential administrative duties required to effectively and efficiently assist the team. This position will also provide support to the ASTRA Management Team as needed. Essential Job Functions: Buyer for all micro-purchasing, which involves following DCS's purchasing process, maintaining all required paperwork, and coordinating deliveries when packages arrive (may require some heavy lifting). Knowledge of making purchases from online vendors. Must also be comfortable communicating on the phone to place orders or to resolve issues that might occur with an order. Prepare purchase requisitions for all purchases that are over $5,000. Will work with DCS buyer to collect all required information to complete these purchases. Responsible for reconciling your company P-card each month. Responsible for preparing DD1149s when transfer of purchased materials is required. Keep spreadsheet of all government property up to date. Complete inventory twice a year. Prepare purchase requisitions and change orders for subcontracts & consultants per managers' requests. Assist new hires with their RQ in-processing through the government (Personnel, Security, Helpdesk, etc.). Keep current on the government policies and procedures for these departments so you can best assist all employees. Responsible for Phone & Alert Rosters, which includes adding contact information for new employees and updating with employee changes. Keep coffee areas clean, along with the refrigerators. Keep coffee supplies stocked. Assist with meetings and other planned activities as requested. Assist both Infoscitex and Government managers with additional tasks as needed. Requirements: Due to the sensitivity of customer related requirements, U.S. Citizenship is required. High School Diploma or equivalent and 3 years administrative experience. Applicants selected will be subject to a U.S. Government background investigation and must meet eligibility requirements for access to classified information: ability to obtain a Secret Clearance. Knowledge of Microsoft Word and Excel skills. Strong verbal and written communication skills with attention to detail. Great attitude, willingness to learn, and a team player. Desired: Familiarity with government procurement policies and procedures.
