Summary:

Greet all visitors or callers to our office, and distribute incoming and outgoing paper mail, making sure all are routed to the correct staff member in a professional and timely manner.

Essential Duties and Responsibilities:

  • Receptionist:

  • Manage the switchboard and front desk in order to provide our clients and visitors with a positive first impression to our agency.

  • Utilize our agency management system to connect clients with the correct staff member in a timely manner.

  • Route incoming faxes to the appropriate staff member.

  • Mail:

  • Incoming mail: download policy documents and scan all incoming mail into the agency’s document imaging system.

  • Outgoing mail: apply appropriate postage to letters and packages. Maintain proper level of postage in the meter.

  • Data Entry:

  • Perform miscellaneous data entry and word processing duties as requested.

  • Order supplies and maintain inventory.

  • Miscellaneous projects as they are assigned.

EDUCATION

  • Must obtain a resident insurance license within the first 30 days of employment.

  • College degree or equivalent training and/or experience preferred.

WORKING HOURS and TRAVEL

  • Full Time position; in the office M-F_ 37.5 hours per week.

  • Average no more than 1-2 out of town trips per year to attend training sessions
