Tri-City Electric Project Service Coordinator in Davenport, Iowa

Tri-City Fire Protection is currently seeking a Project Service Coordinator for an immediate opening in Davenport, IA. The Project Service Coordinator provides administrative and technical support for construction projects.

Responsibilities include but are not limited to:

  • Maintain integrity of data, reports, updating files and reporting weekly to managers on current projects

  • Administrative support for managers and service staff

  • Develop rapport building positive relationships with customers and field staff

  • Assist in putting together preliminary draft responses, quote inquiries for services and inspections

  • Maintain accuracy within the CRM software by updating contact information and building specifications as needed

  • Provide support in pulling permits, as needed, from various municipal entities

  • Distribute purchase orders to the team

  • Maintain job set up, and work order creations, creating job folders for the service departments

  • Contract routing to Estimator, PM and General Counsel, gathering required documents and return to customer/contractor in timely manner

  • Issue subcontract agreements to subs as needed

  • Maintain & coordinate daily schedule for multiple service technicians to complete periodic inspections & maintenance. Coordination will be directly with customers, and Foreman in the field

  • Strategically rearrange previously scheduled work, under pressure, as emergency service calls arise

  • Maintain internal logs for periodic inspection tracking

  • Track & submit inspection reports to various compliance portals such as Compliance Engine & BSI Online, or others as required

  • Credit card reconciliation

  • Create & distribute daily Time & Material invoices, and monthly progress billings.

  • Disburse invoicing & reports to customers for payment via e-mail and customer portals, including lien waivers

  • Coordinate & execute weekly internal meetings with PMs, track job status & manpower availability

  • Tracking & renewal of service technician licenses and company inspection licenses

Qualifications:

  • Hight school diploma, some college

  • Minimum of 5 years project coordination experience and/or equivalent combination of education and experience

Candidates must possess strong attention to detail, a focus on accuracy, solid communication skills, positive initiative and judgement, the ability to problem solve and meet deadlines and the ability to multitask with tact and consideration.
