Summary This position is located in the Ambulatory Care Service at the Illiana VA Medical Center, Danville, IL and is responsible for performing administrative functions for Ambulatory Care Service in collaboration with the Administrative Officer. Responsibilities Duties include but are not limited to the following: Assists in planning, organizing, coordination, implementing, directing, integrating and evaluation clinical elements in Ambulatory Care. Assists in recruitment, selection, orientation, training and evaluation of clinical and clerical staff. Provide timekeeper coverage by reviewing time and attendance reports for employees and/or assure reports are correctly entered into the system. Serves as point of contact (POC) for call-in's and request for time off. Keeps track of annual leave/sick leave/travel/meeting requests. Perform work involving the collection, compilation, and/or tracking of data and statistical information e.g. preparing/developing reports. Performs duties of fund control point clerk. Maintains Chief calendar, prioritizes appointments and meetings. Coordinate meetings, arrange for space room configuration, complete minutes, agendas, and/or other administrative duties as needed. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/26/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: Must have at least one (1) year of specialized experience equivalent to at least the next lower grade, GS-6, level in Federal service that equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. Specialized experience includes: Using various Microsoft Office programs, database programs and office equipment. Providing administrative support to a team, produce a wide variety of statistical data, prepares spreadsheets, databases, word documents using appropriate software, and submit reports to appropriate parties. Maintaining appointment calendars, coordinating meetings, and conference calls. Tracking leave requests and attendance reports. Preparing reports, assisting in planning, reviewing and reporting data, and statistical results. You will be rated on the following Competencies for this position: Administration and Management Clerical Computer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Due to routinely being faced with complex program demands and challenges created by competing priorities, the Program Support Assistant must possess an ability to concentrate at a high level and change focus without damaging the integrity of the initial project at hand. Prolonged periods of sitting in one location and use of dual computer monitors is required. Must have high visual acuity. Physical activity includes, daily walking, bending, standing, and carrying light items such as papers and files.
