Job Description

Saatchi & Saatchi has an exciting opportunity for you to join our agency as an Administrative Assistant. An ideal candidate for this position will understand that their first responsibility is to do everything they can to provide operational support to several team members of our Communications Group (Media). This trusted person will be the “know-it-all” of company processes and navigate operations in a smart and efficient way. You will work with the Media team daily, and report into the Executive Director, Media. Discretion and professionalism is required of the role at all times.

Saatchi & Saatchi maintains a hybrid work policy to work in-office three days per week and remotely the other two days each week.

Roles and Responsibilities Include:

  • Meet the daily scheduling needs of those you support, follow up on details to ensure the workday is flowing smoothly

  • Work with Executive Assistants in other departments and facilitate communication and delivery of information

  • Schedule and help with assigned onboarding responsibilities

  • Manage travel arrangements, meeting and appointment scheduling

  • Complete expense reports, car logs, and other procedural paperwork

  • Help organize in-person and online department events

  • Prepare presentation materials for internal & client meetings

  • Discreetly handle confidential documents and privileged information

  • Resourcing and budgeting responsibilities to support leadership teams.

  • All other duties as assigned

Qualifications

  • 2+ years of administrative support experience

  • Proficiency with Outlook Mail and Calendar in an office setting

  • Comfort and experience with a fast-paced environment

  • Must be detail-oriented and a self-starter

  • Excellent time and project management skills

  • Exceptional relationship management and communication skills

  • Experience in Excel, Power Point, Microsoft Office, Internet Research, etc.

  • A positive attitude and patience to execute complicated tasks with efficiency and attention.

  • The ability to work collaboratively with employees at all levels of the organization
