Job Summary:

Rest Assured Home Care, a leading home care agency, is seeking a motivated and detail-oriented Administrative Assistant to join our team. The primary responsibility of the Administrative Assistant will be to provide comprehensive administrative support to ensure smooth operations and assist in achieving our goals of hiring 10 new caregiver employees and onboard ing new clients for home care. The ideal candidate will possess strong organizational skills, excellent communication abilities, and the ability to work effectively in a fast-paced environment.

Duties and Responsibilities:

  • Perform general administrative duties, including answering phone calls, managing emails, and maintaining records and databases.
  • Assist with the recruitment process for caregiver employees, including job postings, screening resumes, scheduling interviews, and conducting reference checks.
  • Coordinate and schedule interviews with candidates and assist in the onboard ing process.
  • Assist with the creation and maintenance of employee files and ensure compliance with all necessary documentation and records.
  • Maintain accurate and up-to-date client records and assist in client onboard ing.
  • Assist in the coordination of caregiver schedules and client appointments.
  • Support the management team with various administrative tasks, such as preparing reports, presentations, and correspondence.
  • Collaborate with other departments to ensure effective communication and coordination of activities.
  • Provide exceptional customer service to clients, caregivers, and other stakeholders.
  • Maintain confidentiality of sensitive information and adhere to HIPAA regulations.

Requirements:

  • Must have High school diploma or equivalent; additional education or certification in office administration or a related field is a plus.
  • Proven experience in an administrative role, preferably in a healthcare or home care setting.
  • Must have organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Must understand verbal and written communication skills.
  • Ability to multitask and work well under pressure in a fast-paced environment.
  • Strong interpersonal skills and the ability to work effectively with a diverse team.
  • Have Knowledge of HIPAA regulations and understanding of confidentiality requirements.
  • Experience in recruitment and onboard ing processes is a plus.
