Reports to : HSE Director
Regular, Full-Time Position
Non-Exempt, Eligible for overtime
General Job Description:
Manage day-to-day services, policies, programs, and compliance
Highly transactional position.
Essential Duties and Skills:
Maintain HSE Information System database, compile various tracking reports, communicate past due or missing data to HSE Director as well as appropriate field management.
Schedule and track employee safety training
Perform data entry for internal training topics and 3rd party employee safety training.
Perform data entry of daily, weekly, monthly, and quarterly equipment & tool inspection documents.
Compile Incident and Safety Trend Analysis reports for HSE Director.
Provide administrative support to the HSE Director and Field HSE personnel
Assist with completion of safety forms and documentation
Communication with PM’s, project supervisors, project employees, HSE Tool-Box information, training data.
Request Insurance Certificates from Carrier electronically.
Coding charges, invoices and forwarding to A/P, ability to research and solve discrepancies
Protect Company’s value by keeping confidential information confidential
Ability to pivot priorities as necessary
Comply with federal, state, and local legal requirements
Completion of departmental timesheets as required
Other duties and/or projects may be assigned
Qualifications
Office or Field HSE administrative/tracking experience
Minimum of 2 years’ office experience, preferably in a high-volume atmosphere
Must have excellent organizational and time management skills
Ability to work efficiently and effectively in a fast-paced environment
Must be able to work independently with little to no supervision
Critical thinking skills, problem solving
Must possess the ability to speak with various divisions on an as needed basis,
Bilingual- English & Spanish with the ability to speak, read, and write both languages is a plus
Experience with client safety and drug/alcohol websites (i.e. ISNetworld (ISN), Avetta, Veriforce/Veri-source, NCMS, TPS Alert, DISA, Abbott / Alere)
Managing third-party subscriptions for compliance with customer requirements, including ISNetworld, Veriforce, Avetta, National Compliance Management Services (NCMS), etc.
Experience with Vista-Viewpoint, KPA Flex
Proficiency with Microsoft Office Suite applications
Possess the ability to learn quickly
Physical Requirements, include, but are not limited to:
ability to sit at a desk environment (90%) for many hours at one time
ability to regularly and consistently use a keyboard and mouse
ability to walk up and down stairs and around the office
ability to lift 25 pounds
ability to proficiently use office equipment (computer, fax, copier, scanner, etc.)
