Description

The Arc Mid-Hudson has an administrative support opportunity available at our Brookside School in Cottekill.

Reporting to the Director of Brookside School, the Administrative Assistant is responsible for assuring all assigned reporting is completed and submitted to appropriate school staff and agencies in a timely and accurate manner. This includes but is not limited to daily attendance, lunch documentation, progress notes, Medicaid documentation, and agency and program data.

Responsibilities include, but are not limited to the following:

  • Complete all office work assigned including preparation of daily attendance, ordering of lunches and documentation in Mosaic, Rondout's web-based program.

  • Answering phones and keep up to date on filing including preparing former student files for storage.

  • Answering visitors at main doors. Ensuring visitors sign in and sign out.

  • Prepare correspondence and perform necessary photocopying of student reports and records for student's files or to be shared with districts, counties or families. This includes annual reviews, quarterly progress notes and school age monitoring forms.

  • Order supplies and maintain all purchasing records including voucher payables, credit card charge forms, Items Already Purchased forms, and submit to Purchasing or Accounting in a timely manner.

  • Maintain Key 2 Purchase program.

  • Set up county transportation for students.

  • Responsible for Before Care/After Care and parent pay student lists and send to accounting.

  • Perform reference checks for new hires and assure that these are completed accurately and in a timely manner.

  • Arrange for on-call staff in the absence of the Office Manager

  • Back up for picking up breakfast and lunches at Marbletown Elementary School.

  • Responsible for daily mail pickup and drop off at Post Office

  • Assure that student information for preschool, school and UPK/Typical students is updated and accurate on computer and hard copy files.

  • Assist in maintaining a professional and safe climate in the office while being welcoming to students, families and visitors

  • Attend in person trainings as well as complete all mandated trainings including in Relias in a timely manner.

  • Ensure the safety of all students in the program.

    SCHEDULE: 40/Monday through Friday/8:30 am to 4:30 pm

    SALARY: $ 15.50 to $ 17.05 per hour

Minimum Requirements

  • Associates Degree in Secretarial Science or High School Diploma plus three years administrative experience

  • Computer experience including a good working knowledge of Microsoft Word, Excel, and Outlook.

  • Excellent organizational skills.

  • Excellent interpersonal and communication skills to be able to articulate clearly and concisely, both orally and in writing.

  • Establish and maintain professional and courteous working relationships with all internal staff and external stakeholders.

  • Experience with both preschool and school-age children with intellectual and developmental disabilities preferred.
