EquipmentShare is Hiring an Assistant Construction Project Manager

EquipmentShare is searching for an Assistant Construction Project Manager for our Real Estate and Construction office in Corpus Christi, TX, to support our development and construction teams as the department continues to grow.

EquipmentShare is seeking a Assistant Construction Project Manager Reporting to the Construction Project Manager, the ASM manages the disbursement process in accordance with the Generally Accepted Accounting Principles (GAAP). This position proactively works with enterprise-wide stakeholders as a strategic partner between our construction division, construction partners, lenders, accounts payable department, and operations leaders. This position must use independent judgment and initiative in the planning, organization, assignment, and reporting of work.

Primary Responsibilities

  • Review disbursement requests for accuracy and completion including invoices, lien releases and waivers, proof of payment, inspections, transfers, retention balances, and borrower approvals.

  • Oversee validation of construction draw documentation and compliance with construction budgets and process corresponding request.

  • Track and provide reporting on project budgets and the availability of funds during construction as it relates to the construction timeline and anticipated construction draws, ensuring that projects remain in balance.

  • Communicate with contractors regarding disbursement submissions and status updates.

  • Prepare all funding forms and pertinent searches prior to draw approvals.

  • Review construction contracts, budgets and other bids as needed.

  • Order construction site inspections and title endorsements.

  • Compile data and draft documents or reports as requested or necessary.

  • Collect and review final recordings and documentation such as Certificate of Occupancy (COO), Notice of Completion (NOC) and final lien waivers.

  • Maintains constant communication between Construction Project Managers and other internal team members to ensure an efficient and effective communication process.

  • Collects, organizes, and communicates critical information, updates the data related to new construction projects.

  • Escalates critical issues of importance with follow through to appropriate responsible parties.

  • Follow-through with multi-step processes to ensure 100% completion of all projects.

  • Participates, and in some cases leads, research, communication, and resolution of project-related issues.

  • Responsible for administrative support for most tasks.

  • Anticipate and proactively resolve problems/obstacles/barriers.

  • Demonstrate and maintain strong communication and interpersonal skills.

  • Management of project files and records.

  • Participate and contribute to the continual cost, efficiency, and design reviews for all construction via weekly construction and cross departmental meetings.

  • Route documents for approval and execution, including compiling the proper backup paperwork, identifying appropriate approvals required, final distribution, filing and scanning.

  • Follow-through on invoices.

  • Sort and file paperwork into project folders, both electronic and paper.

  • Attend training sessions as directed.

  • Other duties, as assigned

Skills & Qualifications

  • Commercial construction management/loan underwriting/funding/disbursement experience.

  • Familiarity with construction lending, administration, processes, systems, and documentation required, including AIA forms.

  • Highly proficient with MS Excel, Google Sheets

  • Understanding of basic construction processes and risks.

  • Project management and organization.

  • Ability to communicate and collaborate with several different stakeholders, including landlords, contractors, inspectors, title companies, internal and external legal counsel, etc.

  • Attention to detail.

  • Self-motivated to meet deadlines.
