Description

Convergint is looking for a full-time, enthusiastic, results driven and forward-thinking Administrative Assistant in our Lock Shop to join our amazing culture. In this role, you will provide administrative support to the Lock Shop and serve as a liaison between the Lock Shop and our technicians, Resource Operations team, as well as the customer. As an Administrative Assistant in our Lock Shop, you are a part of a dynamic team that allows you to grow as Convergint grows.

What You’ll Do

  • Receive all lock shop work from customers and the field.

  • Log received work, package, identify proper key tag and mark on box/envelope when required and shelve for Lock Shop to process.

  • Prepare shipments of completed Lock Shop work for the customers and technicians.

  • Perform tracking and shipping of transfer orders in ticketing system (CRM).

  • Research and monitor lost/damaged UPS packages.

  • Maintain spreadsheets and logs for First Citizens Bank key destruction, key tags, combination cards, mystery locks, and the Lock Shop Courier pickup form.

  • Enter Lock Shop billing items into the ticketing system (CRM).

  • Resolve finance reject discrepancies for all Lock Shop tickets.

  • Work in a cross-departmental function to facilitate information sharing and provide updates as required.

  • Deliver service and support updates and resolutions to internal and external business partners.

  • Interact with customers to provide service updates in response to inquiries, concerns, and requests about work orders.

  • Gather customer’s/Technician’s information and determine the next steps and resolution.

  • Accurately generate work orders in ticketing system in accordance with service requests submitted by Convergint customers.

  • Research required information using available resources.

  • Redirect problems and escalations to an appropriate resource.

  • Organize ideas and communicate oral messages appropriate to listeners and situations.

  • Follow up and make scheduled callbacks to customers and technicians where necessary.

  • Stay current with system information, changes, and updates.

  • Knowledge of relevant software computer applications and equipment (Microsoft Office).

Requirements:

  • Education: High School/GED or equivalent experience.

  • Strong communication skills.

  • A working knowledge of Microsoft Word and Excel.

  • Ability to work independently.

  • Highly motivated/self-starter.

  • Exceptional organizational skills.
