Position Summary & Location

DCES is the Enterprise Accounts team for Distech Controls, situated within the Intelligent Spaces Group (ISG) Services organization. We are looking for an assistant to the project operations team. The ideal candidate demonstrates excellent analytical skills, quick and precise execution, strong technical/computer skills, and great attention to detail and organization.

DCES is a remote-first organization, and this U.S.-based position works from home, ideally in the Eastern or Central time zones.

Primary Responsibilities Include

  • Assist the Project Operations Manager with administrative and operational support of the DCES team. This includes processing financial transactions within the business’s ERP system (Infor Syteline) as well as operating within a Microsoft environment (MS Office applications, Teams, SharePoint, OneDrive) enhanced by third-party web tools (ActiTIME, Smartsheets).

  • Purchase Orders – issuing POs, sometimes including shopping/price comparisons, entering orders into vendor systems, reviewing order acknowledgements for completeness and errors.

  • PO Receiving/Vendor invoices – initial review of vendor invoices for necessary details (e.g., PO#), filing invoices from a shared email box into the PMs’ approval folders, maintaining reminders for monthly PM invoice approval schedules, processing vendor invoice/PO receipt in Syteline.

  • Timesheets – exporting project time data from ActiTIME, processing data in Excel for PM review/approval, and uploading approved timesheet data into Syteline Inventory Maintenance – process inventory moves in Syteline at least weekly, maintaining inventory records in Smartsheet, respond to questions about inventory availability.

  • Expense Maintenance – management of personal corporate card expenses and travel requirements in Concur, may assist other team members with travel arrangements or expense issues in that system on an infrequent basis.

  • Subcontract Agreements (SCAs) – assisting PMs with completing the template form for SCAs and ensuring all subcontracts for labor have an SCA created prior to issuing POs.

  • Project Booking and Budget Maintenance – verifies all necessary documents are completed to create project records in the ERP system, books projects including generating customer address records, setting up project budgets in Syteline and opening ActiTIME tasks.

Qualifications

  • 5+ years of related experience in administrative and operations roles, including managing a variety of tasks with discretion and confidentiality is required.

  • Advanced communication skills, written and spoken in English are required.

  • Demonstrated proficiency in MS Office, particularly Excel, SharePoint, and OneDrive is required.

  • Database experience, including proactively catching errors to ensure data integrity is required. ERP specific experience is preferred.

  • Must have positive interpersonal skills and be self-motivated.

  • Must be process and detail-oriented with critical thinking and analytical skills.

  • Experience with any of the following systems (Infor Syteline, ActiTIME, Smartsheets, Microsoft Dynamics, CRM, SharePoint, Concur) is preferred.

  • Experience from a commercial construction-related field related to project lifecycles, retentions-based billing, COIs, and revenue recognition is preferred.

  • Experience working with a fully remote team, including excellent organizational and prioritization skills is preferred.

The range for this position is $53,400.00 to $96,100.00. Placement within this range may vary, depending on the applicant’s experience and geographic location.
