Aston Carter Office Manager in Columbia, Maryland

Job Title: Office ManagerJob Description

A 35-person Architecture and Engineering firm is seeking a strong organizational leader as Office Manager for their Columbia, MD headquarters. The candidate should have strong interpersonal and organizational skills with a passion for serving. Communication skills, including welcoming and phone responsibilities as well as office-wide written communication, are imperative. Knowledge of the industry and local community is appreciated. Reports directly to the ownership team. Responsibilities include: - Back up for answering and directing incoming calls when the receptionist is away - Vendor and office interface, scheduling, and coordination (security, internet/phone, copiers, cleaning, maintenance, HOA and neighboring tenants, product vendors and library) - Special event planning (vendor lunches, happy hours, holiday parties) - Payroll and invoicing – back up support to firm accountant (new project set up, lien releases, special invoice assistance) - Recurring business office bills related to physical office and firm records (business licenses, personal licenses, service subscriptions) - Maintain and modify employee records and files (personnel files, phone lists, employee PTO) - Onboarding new employees (less than 5 a year) (1st day training, benefits set up) - Administration of employee expense sheets - Administration of employee time sheets/payroll assistance - Notary - Foster firm culture - Special clerical support to ownership (word processing and document support)
