Job Summary
Provides administrative support to the Office of the President (P.O.) and oversees all aspects of house management for the President's residence. This position requires exceptional organizational skills, discretion with confidential information, and strong interpersonal abilities.
Responsibilities
Serves as first point of contact for the President's Office
Manages visitor interactions and phone calls to P.O. main line Screens inquiries and directs to appropriate recipient(s)
Provides administrative support to President's Office
Serves as backup to President's Special Assistant Processes presidential correspondence with strict confidentiality Tracks and reconciles budget expenditures Provides occasional support to P.O. staff for events and special projects such as:
Board of Trustee meetings President's Office special programming Preparation/follow-up for visiting dignitaries and other special guests
President's Office and Residence Space Management
Collaborates with Facilities Services on improvement projects and ongoing maintenance Coordinates with service vendors (housekeeping, security, etc.) Tracks and maintains office supplies and presidential gift inventory Collaborates with Events team to coordinate use of President's House for college events
Represents the President's Office with Internal and External Constituents
Maintains strong relationships across college departments Acts with discretion, collegiality, and sensitivity in all endeavors Represents the interests and priorities of the president in meetings, one-on-one interactions, and with all stakeholders
Minimum Qualifications
A minimum of three (3) years related experience Knowledge of Microsoft 365 and services (OneDrive, Outlook, Teams, Excel, Word, etc.) Discernment and composure in sensitive and/or high-pressure situations Effective prioritization and time management Exceptional oral and written communication skills Proficiency in grammar, spelling, and basic business math / budgeting Ability to build positive relationships with diverse constituents and stakeholders A solutions-oriented mindset
