Responsibilities
Executive Administrative Services & Risk Management Support:
Manage VP/CFO calendar, schedules, and travel arrangements, as needed. Prepare and draft correspondence, screen calls and respond directly or determine appropriate referrals to others. As available provide general administrative services' assistance to the Associate Vice President (AVP) for F
Gather information, prepare materials and agendas, arrange virtual meeting schedules, and synthesize data for slides and presentations. Facilitate meeting schedules and materials for Board of Trustee committees staffed by the VP/CFO and external committees and boards, including those for national and regional professional associations (NACUBO, WACUBO).
Partner with the risk management administrator and insurance broker on certificates of insurance requests, policy updates and renewals, annual bond review and updates, process renewal payments, day to day incidents and inquiries, along with needed information and research.
Office Operations & Project Management:
Monitor departmental expenditures for multiple divisional budgets and follow-up on questionable transactions. Provide monthly updates on spend rates and balances available to the AVP and VP/CFO through regular analysis and projection of future spending needs. Reconcile the VP/CFO's p-card transactions, manage internal office expenditures, track and process legal payments and campus wide invoices.
Assist Finance with various tasks to support the annual financial statement audit. Specific areas of support include, but are not limited to, audit confirmation preparation and collection of Board Committee minutes and agendas, legal information and other corporate documents, as needed.
Research, analyze and/or study information affecting campus-wide operations. Serve as a subject matter expert on all campus wide policies impacting employees in the division and keep Finance & Administration leadership appraised of such policies.
Supervise Finance student employees and coordinate work duties with other department staff.
Serve as the primary point of contact for technical/computer issues for the VP/CFO and finance administrative offices, assist with updates to division website, and maintain office records and files (written, electronic, archives).
Minimum Qualifications
Associates degree plus a minimum of five years' related experience, or comparable combination of education and experience. Related experience should include four years as an executive assistant, with progressively responsible experience in managing administrative and financial operations; exceptional administrative, organizational, human relations, and technical skills; ability to develop and maintain working relationships with people from different cultural backgrounds and perspectives, ability to work independently and accurately, must demonstrate ability to work with discretion, a high level of resourcefulness, diplomacy, integrity, a d professionalism in all aspects of responsibilities; ability to maintain the confidential nature of information and issues that arise in the course of the job and office of the VP/CFO; skill in making decisions by seeking out best alternatives for complex issues; ability to take initiative and work in a fast-paced environment with timelines and ability to navigate shifting priorities with ease; outstanding customer service and budget management/analytical skills; excellent oral and written communication skills; advanced-level proficiency in computer software to include the use of Microsoft Office programs and virtual meeting resources, experience using databases and performing internet research, and aptitude for learning new datab
