POSITION REQUIRES SHIFT WORK AND IT WILL BE A CIVILIAN UNIFORMED POSITION:

Under general supervision of the Support Services Manager, and in coordination with the Assistant Police Chief, the Support Services Police Assistant performs general oversight and support duties in the distribution and inventory control of the department’s supplies, materials, and equipment procurement, while maintaining a high level of inventory integrity within the College Station Police Department

Principal Duties

  • Receive and manage Police Department inventory such as personal protective equipment (PPE), uniforms, and other public safety and emergency services equipment.
  1. Perform standard shipping/receiving functions; verify items upon delivery; ensure shipping manifest balances with invoices; and maintain accurate records for gear, equipment, and supplies.

  2. Assist in maintaining computerized inventory system to track procurement, warehouse/storage, and distribution of items needed to accomplish the goals of the department.

  3. Participate in processing fiscal transactions for the department to include maintaining appropriate division-related records such as departmental invoices, purchase orders, check requisitions, bid information and vendor files; performing entry or receiving data input purchasing functions; reviewing purchases for accuracy; administering and tracking departmental transactions; and working with the City’s purchasing department to reconcile annual blanket contracts and purchase orders.

  4. Process supply requests from employees, including verifying items, quantities, and stock availability; and deliver and/or distribute gear, supplies and equipment.

  5. Assist in monitoring inventory levels to aid in reducing supply costs, forecasting inventory and procurement needs, and ensuring proper inventory levels and proper allocation throughout the department.

  6. Oversee and coordinate the uniform program including fittings, issuance, inventory, and repair uniforms in compliance with the department’s standard operating procedures.

  7. Provide clerical assistance regarding quartermaster/inventory related activities including but not limited to assisting with maintaining departmental quartermaster related expenditures, maintaining accurate records and documentation, preparing reports, and coordinating the disposition of surplus departmental equipment with the purchasing department.

  8. Coordinate facility repairs as required; and assist with facilitating scheduled and unscheduled repairs for patrol vehicles as repairs are required.

  9. Perform other related duties as assigned.

Qualifications

Required: High School Diploma or GED equivalent and three (3) years of related work experience; or the equivalent combination of education and experience

Excellent oral, written and organizational skills

Ability to multi-task and complete assignments effectively

Ability to learn and understand procurement inventory/maintenance software

Proficient in the use of computer programs including Microsoft Office (Excel, Word, and PowerPoint) and network applications

Ability to establish and maintain effective working relationships with the general public, co-workers, and others contacted in the course of work

Ability to lift/carry objects weighing up to 25 lbs.

Preferred:Associate’s degree in a related field

Knowledge of centralized purchasing and warehouse principles, practices, and theori

  • Candidates must be successful in each phase of the selection process.

  • A conditional offer of employment will have been made before the drug screen is administered.

*The expected duration of the application process is 60-90 days. Those successfully completing the selection process will be placed on an eligibility list for 6 months. After 6 months, the applicant must reapply. Applicants who fail to successfully complete any portion of the selection process shall be notified in writing by the Human Resources Department. This notification will include the eligibility date to reapply which will be no sooner than 30 days from the rejection date.
