What we want

The Graduate & Professional School is seeking a Graduate Student Specialist IV to provide higher skills for advising graduate students, faculty, and staff on various aspects of graduate degree evaluations and official University forms. This position also provides guidance to/or refers graduate students, faculty, and staff on various Graduate and Professional School processes and policies and graduate degree-related training and resources. This position serves in a primary customer service role for all graduate students, faculty, and other campus visitors to the Graduate and Professional School. The successful candidate strives to provide excellent customer service. We are looking for someone who will work collaboratively with all teams at the Graduate and Professional School to provide accurate and up-to-date information for all inquiries. Salary: $36,512.00 - $46,924.80

Required Education and Experience:

  • Bachelor’s degree or any equivalent combination of education and experience

  • Two years of related experience in office administration or project management

Required Knowledge, Skills, and Abilities:

  • Excellent verbal and written communication and interpersonal skills

  • Excellent knowledge of spreadsheet, presentation, and word processing programs

  • Ability to interact effectively with diverse constituencies and to work collaboratively with students, faculty, and staff work teams, other units of the campus, and outside organizations

  • Ability to multi-task and work cooperatively with others

Preferred Experience:

  • Higher education experience in advising, degree progression, and/or course approvals

  • Texas A&M University experience with working knowledge of Compass, CARS, and Howdy

  • More than two years of experience working with graduate students in an advising capacity or related role. Demonstrated leadership experience

  • Experience working with faculty in higher education

Preferred Knowledge, Skills, and Abilities:

  • Excellent computer skills, including proficiency in Microsoft Office products Excel, Word, and PowerPoint. Knowledge of TAMUS Policies and Regulations and Texas A&M University Rules

  • Must possess a strong work ethic and be able to balance conflicting priorities and make decisions based on approaching deadlines

  • Knowledge of public relations and marketing techniques, including social media

  • Strong desire to work with graduate and professional students, faculty, and administrators from a wide range of fields across the University

  • Knowledge of graduate student advising practices and procedure

  • Advanced proficiency in Compass, CARS, and Howdy

Responsibilities

  • Graduate Committee Faculty - Manages the Graduate Committee (GC) Faculty nomination process and system. Develops, maintains, and implements updates to the GC Faculty database and Special Appointment database. Administers the annual review of all GC Faculty across all TAMU units. Oversees updates to the authorized signatures and designated contact persons for all University Graduate and Professional documents and informs appropriate stakeholders when changes occur. Administers the annual review process for authorized signers and designated contacts for all University Graduate and Professional documents.

  • Graduate Council - Coordinates all pre- and post- logistics relating to Graduate Council (GC) meetings including scheduling meeting room, coordinating any needed technologies including TTVN or Zoom, securing guest speakers, ordering refreshments, creating the agenda, documenting and disseminating minutes. Meets with chair of graduate council as needed. Manages the new, change in and withdrawal course requests as well as the new, change in, and withdrawal of new programs through the Curricular Approval Request System (CARS). Coordinates and collects any correspondence requested at GC meeting. Sends approved items forward to the Faculty Senate using the CARS system.

  • General Office Functions - Coordinates English Language Proficiency Requests and Compliance and Teaching Assistant Training Compliance. Is responsible for processing Authorized Signer forms.

  • Graduate Director and Advisor Trainings - Coordinates Graduate Director trainings and Graduate Advisor Development Sessions (Brown-Bags) as necessary. Coordinates Graduate Advisor Workshops in summer and spring.

  • Graduate Catalog - Coordinates Annual Graduate Catalog updates and entry into CARS.

  • 689 Special Topic Course Requests - Reviews and processes new course requests and forwards as appropriate to the Office of the Registrar. Performs other duties as assigned.
