Responsibilities Include:
Administrative support and assistance to both the internal Sales and Research teams
Oversee and manage analyst marketing and management travel across the following markets: New York, London, West Coast, the Midwest (Chicago), Boston and Florida
Create marketing materials for group events (i.e. flyers as needed for group breakfasts, lunches, dinners, and misc. outings with analysts and/or management teams)
Book and coordinate travel for analyst and management teams, including flights, car services, and accommodations
Assist with the research note schedule
Assist with publishing notes and Juice documents
Managing travel calendars while ensuring logistics are well documented in CorpAxe
Confirm meetings scheduled with clients and their assistants
Plan and book large group meetings and venues (restaurants, hotels, meeting rooms)
Organize schedules, including coordinating with analysts, sales teams, and management teams
Assist with office related tasks including mail distribution and ordering/setting up weekly firmwide lunches and other food deliveries
Gather analyst and Sales team availability for calls with clients
Assist with planning firmwide events such as the yearly Summer Party, Holiday Party, and Halloween Decorating Contest
Qualifications:
Strong organizational skills and attention to detail
Excellent communication skills, both written and verbal
Ability to manage multiple tasks and prioritize effectively
Experience in event planning and coordinating logistics for large groups is a plus
Strong proficiency in full Microsoft Suite
Knowledge of Salesforce/Singletrack, InDesign preferred or must have a willingness to learn
Ability to work collaboratively with various teams across multiple departments
High degree of confidentiality and integrity
Dependable self-starter with excellent anticipation skills and ability to work well under pressure
