    POSITION DESCRIPTION: Ensures incoming mail and outgoing mail, packages, courier deliveries and other special items are received, sorted, distributed, and delivered to the correct addressee in an accurate and timely manner. Processes mail/package items utilizing the most efficient means that meets the needs of the customer. Tracks and ensures timely delivery of all time-sensitive and certified/registered mail/packages. Updates and maintains all required Mail Room logs and databases. Responds to inquiries regarding damaged and/or missing mail or packages. Appropriately resolves issues relating to illegible or unknown addressees on incoming/outgoing mail, packages, or other items.

    Assists Wireless Communications Coordinator with ordering and tracking cell phones, smartphones, and needed supplies and equipment. Assists with repairs and/or replacement of damaged equipment. Coordinates with OIT for the preparation of smartphones and tablets. Assists with temporary dispersion of emergency phones during storms. Assists with processing of monthly phone invoices.

    Maintains Mail Room equipment and supplies as needed or required, including accurately reading, monitoring, and keeping records for postage meter readings, postage equipment fund balances and taking appropriate action necessary to ensure adequate postage is available to process all outgoing mail at all times.

    Remains current on United States Postal regulations and assists employees with proper mail or shipping procedures. Services as liaison with all mail and shipping companies to ensure accurate and efficient services for the Department.

    Assists with a variety of receptionist duties to include assisting visitors coming to or calling Department of Transportation (DOT) facilities, while also controlling access into DOT buildings as a security measure. Duties include greeting visitors, issuing visitor badges, and allowing access into facilities according to established security guidelines. Directs visitors to meeting locations within DOT facilities or contacts meeting organizers to escort attendees to meetings within secured areas of the facility. Maintains accurate visitor logs and inventories of visitor badges.

    KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of general office and mailroom practices and procedures. Knowledge of current postal and courier service procedures and regulations. Skilled in the use of personal computers, electronic mail, word processing and spreadsheets. Ability to operate various office equipment and mail room equipment. Ability to understand, interpret and follow procedures. Ability to complete forms legibly and accurately. Ability to review data for accuracy and completeness and to sort and organize data alphabetically, numerically and/or categorically. Ability to communicate effectively both verbally and in writing, to comprehend and follow instructions either verbal or written. Ability to plan, organize, conduct work activities with minimal supervision, perform and complete work in a timely, efficient, effective and professional manner, independently and as part of a team. Ability to establish and maintain effective working relationships.

    MINIMUM QUALIFICATIONS: A high school diploma or equivalent and two years of clerical work experience. One year of higher education with cumulative 30 semester hours or 45 quarter hours may substitute for the required work experience. Ability to lift 50 pounds.
