Summary The position will serve as File Clerk/Scanning Specialist under the Health Information Management & System's, Medical Records File/Scanning Section at the Chillicothe VA Medical Center. The primary duties of this position are to coordinate the scanning and importing of patient medical and administrative documents in a timely and accurate manner. Responsibilities Duties and responsibilities include, but are not limited to: Performs duties related to the scanning and/or importing, indexing, quality control, and destruction of health and administrative information. Scans various clinical and administrative documents such as locally developed, paper based medical documents, cardiac rhythm strips, DD 214s, Advanced Directives, and Non-VA medical documentation utilizing the VistA Imaging application according to policy and regulation. Ensures the scanned documents are associated to the correct patient and note in the Computerized Patient Record System (CPRS). Prepares documents to be scanned by removing all paper clips and staples from the documents. Maintains confidentiality of patient information, access to computer files, and release of access codes and follows appropriate procedures when destroying health information in paper or electronic format in accordance to RCS 10-1 and local Records Management Policy, guidelines, and standard operating procedures. Responds to customer needs in a positive and efficient manner. Performs clerical duties, including the use of computerized records tracking, associated with the retention, maintenance, disposition, and control of administrative and medical records. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/27/2024. You may qualify based on your experience and/or education as described below: General Experience: You must have one year of general experience in a position in progression for the occupation in the organization. Examples of general experience would typically include, but are not limited to: knowledge of current computer technology regarding imaging and scanning applications (Outlook, Word); paying close attention to detail; knowledge of standard formats, forms, proper grammar, spelling, capitalization, and punctuation in order to perform a wide variety of record keeping and tracking operations; and, providing customer service to internal and external customers of the facility. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have completed at least 2 years of education above high school. Note: If you are qualifying based on education please provide a copy of your transcripts with your application. OR, Combination: Equivalent combination of successfully completed post-high school education and general experience which meet the total experience requirements for this grade level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work with computers is mainly sedentary in an office environment; however work may involve walking; standing; bending; sitting for long periods of time; lifting and moving boxes that may weigh up to 50 pounds, and assisting with the palletizing of boxed medical records processed for record retirement.
