Job Description

Brookfield Properties has an immediate need for a Senior Administrative Assistant to join the Development team at the corporate office in Chicago, IL. The Senior Administrative Assistant provides administrative support and facilitates overall communications for the department/office. The position performs standard, advanced and confidential secretarial duties requiring broad experience, skill and knowledge of organization policies and practices, acting as a resource in the areas of training, troubleshooting and project coordination. This person is responsible for the construction or creation of communication and/or presentation pieces, either through formal direction from management or individual initiative. This individual provides traditional administrative reports in the area of word processing, travel arrangements, meeting schedules. The Senior Administrative Assistant receives moderate supervision, maintains good communication and organizational skills, exhibits accuracy when working with details, and maintains proper liaisons between department heads, managers, employees and vendors.   • Assists in daily business of managers, which includes general office work, answering phones, word processing, sorting and distributing mail.

  • Coordinates the efficient operation of the department/office by maintaining general and confidential files, ordering supplies, maintaining manuals and performing all other relevant duties.

  • Serves as the backup system administrator for our PMWeb project management system and requires proficiency in operating web-based software.

  • Prepares correspondence, memorandums and reports.

  • May independently prepare routine correspondence.

  • Researches, prepares and edits reports and presentations

  • Resolves routine and complex issues

  • Schedules and coordinates meetings, appointments and travel arrangements

  • Orders office supplies

  • Other duties as assigned

Qualifications

  • High School Diploma or GED required

  • Bachelor's degree preferred

  • 5 years secretarial/administrative experience

  • Knowledge of company policies and procedures

  • Strong organizational and time management skills

  • Strong attention to detail

  • Excellent PC, Excel and MSWord
