Job Summary

The Reception Concierge Manager will establish a welcoming, warm and professional atmosphere for their clients, employees and their guests in their Chicago based office. The Manager will support the Concierge Reception team as they create an amazing first impression as well as act as the point of contact for all customers arriving to the site. They will support the clients’ registration tool is working at the optimum level and therefore ensuring the Concierge Reception team is providing seamless support to the employees and guests utilizing the visitor registration tool.

Key Responsibilities:

  • Responsible for leading and supporting the Reception Concierge team with proper tools, training and understanding of how to be fully engaged in greeting guests and visitors with enthusiasm

  • Seamlessly guide employees and visitors through the badge process with meticulous attention to detail, serving as a gracious escort to their destination, leaving lasting impressions at every turn.

  • Support inquiries from guests with your comprehensive knowledge of amenities, local attractions, and dining options, enriching each visit with invaluable insights and recommendations.

  • Upon request, deliver engaging and informative, tours that ensure guests have a memorable and enriching experience.

  • Demonstrate agility and foresight in assisting with resolving booking conflicts.

  • Coordinate with District Manager and communicate with Facility Lead all daily coverage adjustments.

  • Curate the monthly Administrative Newsletter and submit for review by the required timeline.

  • Record and track associate hours to assure proper payroll processing.

  • Performs as the "on the floor" leader of the Concierge Reception team.

  • Responsible to effectively communicate any account or location-specific details pertaining to Lobby Ambassadors.

  • Schedule bi-weekly update calls with appropriate service provider representatives.

  • Actively participate in weekly/monthly meetings as needed supplying the metrics and data required for the client.

  • Maintain tracking sheets for projects, metrics and completed historical tours.

  • Assures that all new associates receive proper onboarding materials and training programs as required.

  • Anticipate and address inquiries with grace and efficiency, responding to a myriad of requests with unwavering attention to detail, exceeding expectations at every turn.

  • Cultivate effective communication and collaboration with peers and other departments, fostering a culture of synergy and excellence.

Qualifications:

  • A genuine sense of hospitality, with a commitment to delivering a memorable experience in all aspects of the experience concierge reception role.

  • The ability to work under pressure, prioritizing tasks and juggling many jobs simultaneously, while constantly interacting with employees and visitors.

  • Excellent listening and oral communication skills.

  • Basic computer skills and knowledge of office technology / equipment.

  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details.

  • Meeting and Event planning experience preferred.

  • Discreet, ethical and committed to maintaining a high degree of confidentiality.

  • A consistently professional approach, with a mindset to take ownership and responsibility within and outside one’s job domain.

  • Two years’ experience in a supervisor capacity in a client service / front of the house position within a hospitality or corporate environment.
