Objective of Position :

The Payroll Manager is responsible for the overall operation of the Payroll function; accuracy of work product; timely response to payroll inquiries/problem resolution requests; timely submission of reports; and ensuring that deadlines are met for all requests while adhering to established internal controls. In addition, this position will be responsible for partnering with Human Resources, Finance, and other departments to ensure the accuracy of all employee payroll entries.

Duties and responsibilities:

  • Manages payroll for 900+ employees for a single U.S. legal entity, including daily payroll-related inquiries.

  • Processes, reviews, and balances payroll for exempt and non-exempt employees, ensuring payroll-related transactions are processed accurately and timely.

  • Processes, reviews, and balances salary expense and payroll taxes related to equity-based transactions.

  • Processes participant 401(k) contributions and loan payments, including submitting files to third party processor; processes and reviews employer 401(k) match.

  • Processes contributions to the employee stock purchase program, including submitting files to third party processor.

  • Manages payroll compliance matters, such as multi-state/multi-jurisdiction tax withholding, garnishments, and key annual audits (e.g. 401(k) audit, worker’s compensation, and external financial audit).

  • Maintains department operating practices and procedures to ensure compliance with proper internal controls and all applicable laws.

  • Manages/supports Payroll module of ADP system.

  • Production and analysis of monthly payroll-related expenses.

  • Application of Federal and State regulations and Fair Labor Standard Act legislation related to payroll processing.

  • Establishes ad-hoc reports through ADP’s business intelligence reporting tool.

  • All other duties as assigned.

Qualifications:

  • Bachelor’s degree in Accounting or Finance, preferred or equivalent experience.

  • Familiarity with ADP Workforce Now

  • Certified Payroll Professional, a plus

  • 5+ years of experience with payroll-related functions

  • 3+ years of experience managing and leading staff

  • Experience with payroll taxation, Illinois and Federal Labor and Wage Regulations

  • Experience with equity-based payroll processing, such as restricted stock awards, stock options

  • Familiarity with Multi-state Labor and Wage Regulations

  • Strong partnership and collaborative style with outstanding communication skills (written, verbal and presentation).

  • Ability to meet deadlines while managing multiple priorities.

  • Critical thinking and problem-solving skills.

  • Strong accounting and math skills.

  • Ability to handle highly confidential information and manage information with utmost integrity.

  • Experience with Microsoft Windows suite (Excel, Word, Outlook) and business intelligence reporting tool.

PHYSICAL DEMANDS/WORK ENVIRONMENT :

Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing. Frequent use of eye, hand, and finger coordination enabling the use of office equipment. Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices.
