Job Description

Position Summary

The Office Services Associate is responsible for cross functional support with the following areas as scheduled – mailroom support/distribution, copy services and switchboard/reception. These areas of responsibility will be assigned daily based on departmental needs. The employee is expected to provide exceptional customer service to our internal and external business partners in all areas of support.

Responsibilities

  • Receive and sort high volumes of incoming and outgoing USPS and pre-sort mail. Provide consistent, on-time mail pickup and delivery to /from designated mail distribution points. Weigh and meter packages for entry into the postal stream. Implement changes in processes from the U.S. Postal system based on direction from manager

  • Taxi to Post Office for daily pickup from P. O. Box (Optional)

  • Receive, record and deliver all incoming accountable packages from USPS, UPS and FedEx

  • Collect, organize and ship centralized corporate expedited mail via USPS, UPS or FedEx

  • Respond to vendors arrivals, allow vendors access to Office Service, research delivery being made and contact recipient of delivery

  • Collect, sort and distribute all in-house items mailed within the Corporate office

  • Manage storage/replenishment of postal funds for meters

  • Assist in UPS or FedEx account setup and problem resolution

  • Must be physically able to lift 50 lbs.

  • Support corporate departments with high volumes of various print, collating and binding requests, custom printed tabs and digital scans per the customer’s work ticket

  • Handle sensitive and/or confidential documents and information

  • Learn new software as technology upgrades are made available

  • Answer and route Incoming calls to BPR's main number

  • Recognize type of call, information being requested and route to appropriate department

  • Receive and dispatch Office of the Building requests such as visitor’s requests, temperature control, replacement keys, box pickup, etc.

  • Complete cross-training for Switchboard/Reception processes

  • Other duties as assigned

Qualifications

  • High School Diploma or GED required

  • 1 year of office services experience, preferably in a mailroom, legal or corporate environment

  • 1 – 2 years reproduction/copy experience.

  • Knowledge of Microsoft Office products such as e-mail and Outlook

  • Excellent communication skills, customer service, professional attitude and appearance a must

  • Ability to work in a fast-paced team environment, with occasional overtime and meet deadlines

  • Physical activity required including bending, reaching, lifting and prolonged periods of sitting or standing. May lift and/or move up to 50 lbs.
