Duties and Responsibilities

Overview: Provide high-level, proactive administrative and project management support to the Dean of the Loyola University Chicago Marcella Niehoff School of Nursing ( MNSON ). Understand the School and Dean’s goals and priorities to establish and maintain efficient coordination of the Dean’s affairs maintaining a high degree of confidentiality. This position is based at Loyola’s Health Sciences Campus and is a part of the staff administrative team that ensures effective coordination of MNSON administrative functions at the direction of the Director of Administrative Operations.

Responsibilities:

  1. Provide primary support to the Dean: screen calls and visitors; maintain the Dean’s calendar anticipating conflicts and effectively negotiating competing interests; ensure that deadlines and events are chronicled; coordinate meetings and some aspects of travel; reconcile charges to the Dean’s company credit card/Procard; and prepare expense reimbursement documentation.

  2. Manage the Dean’s task list and follow-up activities to assure timely completion of projects.

  3. Manage and coordinate projects and initiatives with varying objectives and support needs.

  4. Prepare sensitive and confidential correspondence. Draft routine correspondences for the Dean’s signature.

  5. Assist the Dean with developing and formatting reports, publications, and presentations.

  6. Communicate information and responses to internal and external constituents including delegating to MNSON administrators, faculty, or staff when appropriate facilitating effective services and solutions. Interface with the MNSON Advisory Board as a liaison.

  7. Act as a liaison between the Dean and Associate Deans, Assistant Deans, Directors, faculty, staff, students, and alumni.

  8. Assist the Dean with communications to university and external units and align events and meetings with the Dean’s schedule.

  9. Coordinate meetings and events for School of Nursing faculty, staff and students, the University community, and external partners including facilities, catering, invitations, speakers, and event budget.

  10. Assist the Dean with preparation for meetings and events. Summarize and prepare responses and track action items to ensure responsiveness and closure.

  11. Provide support for town hall and school leadership (Academic Council and Executive Committee) meetings including scheduling meetings, drafting agendas, taking notes, preparing minutes, following-up on action items, and executing related committee business/tasks.

  12. Collect and maintain documentation for compliance and accreditation including flu vaccination, CVs, and professional licenses. Assist in preparation of MNSON accreditation and maintain accreditation files.

  13. Maintain files and databases of full and part-time faculty, emeritus faculty, honorific faculty, and previously employed faculty. Assist with maintaining MNSON listservs.

  14. Contribute to the School of Nursing and University goals for inclusive excellence and antiracism.

  15. Perform other duties, as assigned.

Minimum Education and/or Work Experience

Bachelor’s degree and at least five years of related experience required. Experience in higher education strongly preferred. Equivalent combination of education and experience may be considered.

Qualifications

-Experience in higher education is strongly preferred.

-Project management certification and/or experience is desired.

-Strong written and verbal communication, organization, time management, and interpersonal skills required, as well as attention to detail.

-Exceptional ability to research, plan, implement, and complete complex tasks applying independent judgment and working effectively as a part of a team.
