DIRECTOR OF ADMINISTRATION II
(FACILITIES MANAGEMENT)
Department of Family and Support Services (DFSS)
Number of Positions: 1
(additional vacancies possible pending budget approval)
Starting Salary: $80,628.00/Year

Essential Dutie s:
Manages staff responsible for office management functions to ensure departmental needs such as office equipment and supplies, graphic services, facilities management, fleet management, and other administrative support services for all DFSS locations.
Serves as department lead in coordinating projects such as renovations and repairs for all facilities DFSS manages which include six community service centers and six regional senior centers along with satellite centers throughout the city.
Manages staff engaged in record keeping, facilities maintenance.
Prepares and maintains reports/tracking systems on productivity related to DFSS projects.
Participates and coordinates projects to streamline administrative procedures for DFSS related events.
Ensures proper maintenance of the department’s facilities and fleet by working with the Department of Fleet & Facilities Management (2FM).
Act as the point of contact for the department with the City’s security guard vendor and 2FM, the department that manages that contract.
Oversee the management of the department’s record retention practices.
Acts as the lead for the department’s Continuity of Operations Planning (COOP) efforts aimed at ensuring all facilities have a plan should the physical space become compromised.
Responds to Occupational Safety and Health Administration (OSHA) requirements and deadlines as well as the department’s Health and Safety Committee.
Meets regularly with management for knowledge of areas that may need assistance.
Research and recommends the purchase of equipment.
Performs other duties as required

Address: 1615 West Chicago Avenue
Shift: Monday – Friday
Hours: 8:30am – 4:30pm or 9:00am-5:00pm (May be required to work evenings/weekends based on operational needs)
THIS POSITION IS IN THE CAREER SERVICE
Qualifications:
Graduation from an accredited college or university with a Bachelor's degree in Business or Public Administration or directly related field, plus four years of budgetary, human resource or office administration experience of which two years are in a supervisory role related to the responsibilities of the position, or an equivalent combination of education, training and experience
Selection Criteria
This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral interview will be selected.
Preference will be given to candidates possessing the following:
Previous experience using MS Office Suite
Previous experience with facilities management
Previous experience with project management
Previous experience using SharePoint or other Document Management Systems
