Location: This is a fully remote role. Candidates who live near CB offices have the option of being fully remote or hybrid (Tuesday and Wednesday in office).

This is a full-time, non-exempt role

About the Team

The AP Access team\'s goal is to extend the growth and reach of the AP Program to serve the middle third of high school students by growing participation, serving more underrepresented students, and supporting teachers and schools to help students succeed. The Instructional Services team within this department is dedicated to bringing innovative approaches to AP teaching and learning to scale that are inspired by and build on the needs, experiences, and insights of our educator and student communities.

We work closely with our colleagues across AP and Instruction and in Communications and Marketing to ensure that we are aligned in all efforts to promote the work of AP Courses and Programs to a wide range of audiences including students, parents, educators, policymakers, the media, member organizations and staff.

The Advanced Placement Program (AP) enables willing and academically prepared students to pursue college-level studies while still in high school. The program consists of college-level courses developed by the AP Program that high schools can choose to offer, and corresponding exams administered once a year.

About the Opportunity

As the Associate Director, AP Professional Learning Operations & Event Management, you will apply your event management skills and operational experience to manage all AP professional learning and program access events. This scope includes developing an annual professional learning footprint, by scheduling and coordinating logistics for consultant trainings, district and state requested workshops, public workshop offerings and internal staff quarterly in-person meetings. You will collaborate with key partners, including districts and states, AP Program stakeholders, travel/event planning vendors, and AP Consultants in the management of this work. You will think critically about how to strengthen our existing processes for managing our events.

We are seeking a dynamic, data-driven, detail-oriented and innovative individual who will play a pivotal role in delivering high quality events, as well as managing our relationships with schools and districts.

In this role you will:

PL Operations and Scheduling (40%)

  • Develop annual PL calendar to include all AP offerings in a way to accommodate schedules, holidays, etc.

{=html} <!-- --> - Collaborate with SDP to ensure all district hosted PL events are planned to specification.

{=html} <!-- --> - Confirm that all materials for district hosted PL events are accessible prior to the workshop.

{=html} <!-- --> - Coordinate with AP Product Management and Inflexion to ensure event templates for AP professional learning offerings are accurate and updated as needed.

{=html} <!-- --> - Assist with launching of endorsed AP public workshops by managing intake of providers\' scheduled professional learning events and QC and launch on AP Professional Learning Events Calendar.

Manage all AP Instructional Services Events (40%)

  • Develop Event Intake form for all AP Instructional Services event requests.

{=html} <!-- --> - Work with Helms Briscoe and Fox Travel to schedule in-person events as required by the AP Program Access team.

{=html} <!-- --> - Conduct site visits of potential locations to develop a ready list of recommended locations that fit the ne ds of the varied events.

{=html} <!-- --> - Manage contingent worker communications in relation to each event (accommodation requests, etc.).

{=html} <!-- --> - Collaborate with colleagues to ensure that accommodations meet program needs (confirmingrooming lists, etc.).

{=html} <!-- --> - Schedule and lead final logistics meeting with internal staff involved with events to ensure a shared understanding of the expectations at the event.

{=html} <!-- --> - Schedule hotel staff meetings for the day before the start of medium to large events to ensure there is a hotel point of contact and to establish you as the liaison for the group to ensure a smooth experience for all attending.

{=html} <!-- --> - Develop easy ways for participants to register and receive digestible information for each event.

{=html} <!-- --> - Plan and execute events while adhering to and being mindful of the budget, ensuring cost-effective solutions without compromising quality.

{=html} <!-- --> - Hold post-event meetings or conduct post-event experience surveys to receive feedback and continue to improve upon event planning.
