JOB SUMMARY
Under the supervision of site management, the Training and Access Control Coordinator is responsible for scheduling and coordinating training classes at a refinery facility. This role also performs access control/badging functions and will act as a designated TWIC Agent on behalf of the client. The position requires a high level of customer service skill, sound judgment, and the ability to build effective partnerships with the client and representatives of multiple contract companies.
Other duties include tracking prerequisite training requirements, verifying drug and alcohol compliance, processing access control requests, handling confidential or sensitive materials, and generating reports. Work activities demand a high attention to detail and accuracy, and will require interacting professionally by phone, email, and in-person on a daily basis.
This is a temporary, full-time position for a refinery turnaround at a client site. Duration will be approx. 2-3 months .
* Applicable WA security license and fingerprinting fees will be paid by the employer.
WORK SCHEDULE
Training and Access Control Coordinators work 10-hour shifts on either a day or swing rotation. During a turnaround period, services are provided up to 7 days a week, giving this position the opportunity to earn additional overtime pay .
REQUIRED JOB QUALIFICATIONS
High School Diploma or GED
2 years related work experience
Valid state driver’s license
Transportation Worker’s Identification Card (TWIC), or able to obtain .
Due to the security duties of this position, a State of Washington Unarmed Security Guard License, or able to obtain will also be required.
Must be able to successfully pass company pre-employment requirements that includes a drug test, criminal background check, driving abstract, and a physical.
Knowledge, Skills, and Abilities
Ability to speak, write and comprehend the English language, and apply written and verbal policies/procedures.
Experience with Microsoft Office 365 applications (Word, Excel, Outlook, PowerPoint, SharePoint, Teams).
Excellent attention to detail, time management and organizational skills with the ability to perform assigned tasks efficiently and safely.
Exceptional customer service skills.
Maturity of judgement and behavior.
Experience with scheduling and tracking attendance for workforce personnel using calendar or schedule applications is preferred, but not required.
Experience with records management, access control or badging applications is preferred, but not required.
Ability to develop and maintain professional relationships with all coworkers, supervisors, site management, client and contract company representatives.
Ability to work well both independently, and in a team environment.
Must comply with company established dress code requirements.
Prior work experience in private security, military service, law enforcement or a related field is preferred, but not required.

Opens and routes incoming mail, answers correspondence and prepares outgoing mail. Operates various office equipment.
Answers incoming calls, refers calls to appropriate person, and takes messages.
Follows and enforces standard operating procedures (SOPs) and protocols at the job site and ensures the observance of applicable laws.
Effectively and coherently communicates over radio channels while initiating and responding to radio communications.
Uses sound judgment and discretion while handling confidential and sensitive material.
Perform all other duties and special projects as assigned.

WORKING ENVIRONMENT
Primarily in an indoor office setting, however, may require working in and around an oil refinery. While performing the duties of this job, the employee is primarily in a controlled, temperate environment; however, may be exposed to heat/cold during support of outside activities. The noise level in the work environment is usually moderate to loud.
Wears protective clothing and/or Personal Protective Equipment (PPE) based upon the work environment area or governmental regulations, as required.
